Job description
What You’ll Be Doing
- Build strong relationship with our UK CEO supporting in the delivery of his role and our strategic objectives through managing his schedule for both external and internal commitments.
- Facilitate and build relationships with our Leadership Team teams building trust and respect. Act as a liaison to respond and manage any team issues working as one team.
- Provide sophisticated calendar management to the UK CEO and other UK Executives as required. Prioritise inquiries and requests while troubleshooting conflicts, make judgments and recommendations to ensure smooth day-to-day engagements.
- Provide support and management of function/event coordination for our quarterly Team Events working in partnership with the Director of People & Culture
- Organise, schedule and manage the preparation of Board papers, reports and other high level strategic documentations, including sensitive information; capturing actions, distribute and ensure completion by those accountable.
- Write, draft and proofread professional correspondence liaising with Marketing and People Teams.
- Provide travel arrangements for the UK CEO and other UK Executives. Become familiar with the detailed needs of the executive travellers, the travel policy and travel management company contacts. Create travel itineraries and be available during travel times to quickly address any last-minute changes or cancellations.
- Manage financial reconciliations and accurately track and process expense claims and associated office expenditure in a timely manner for CEO and self.
- Accountable for the smooth running of our office working in partnership with our facilities management company to ensure a safe and healthy working environment for all. Oversee expenditure of office supplies and stationery, visitors and access passes.
- Provide coaching to team members in respect of travel management system so all are up to speed with our guidance and policy.
- Act as the point of contact for visitors, and office facilities team partnering with our Group colleagues as well as UK & Ireland based which will include project management for changes that may be required.
- Display engaging interpersonal skills including the ability to think and act strategically, provide sound judgment and a positive and energetic attitude.
- Experience supporting a CEO and/or Board Level Directors providing hands on support to Chief Executive Officer
- Strong experience in an EA role supporting Executives in a fast-paced organisation
- Exceptional organisational skills with the ability to be adaptable
- Able to build effective relationships with stakeholders at varying levels of seniority
- Excellent communication skills including presentation, persuasion, and negotiation when working with management, visitors and colleagues
- Outstanding problem-solving skills with the ability to solve practical problems and deal with a variety of situations
- Experience in an international organisation ideally in the technology or telecoms industry
