Job Description
Our client, a successful executive search firm specialising in Strategy with offices in London, Paris, New York, Chicago, Singapore and Hong Kong who provide both permanent and independent consulting services across a variety of industries. They are looking for an Office Manager to join their dynamic team, reporting into the Head of Operations and the CEO.
We are looking for an extremely organised, hard-working and intelligent individual with previous experience in an Office Manager position. You must be focused and driven to provide top level assistance to the office and CEO as well as offering support to other members of the Senior Management Team. Previous experience in a fast-paced environment is essential.
You will be polished and have excellent people skills and the gravitas to deal with multiple tasks and different personalities whilst remaining calm and ensuring your tasks are completed efficiently and to a high standard.
The role:
Office Manager
- Day to day management and upkeep of the office including, maintaining its appearance, handling correspondence, managing filing systems and ensuring supplies and equipment are stocked and replenished
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Assist with office layout planning and office moves
- Act as the main point of contact for the building’s management team
- Manage and maintain IT Infrastructure and act as main point of contact for our outsourced IT support
- Manage relationships with external office suppliers
- Assist the Head of Operations in developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Liaise with employees at all levels, including senior management
- Upload jobs to the company website, LinkedIn and Job Boards
- Track all interview processes
- Onboard new starters and update the internal HR system
- Organise employee birthday and Christmas presents
- Manage and update annual policies
- Front of house both answering the main phone line and welcoming guests
- Ad-hoc projects and tasks as directed by the Head of Operations
Executive Assistant
- Management of CEO diary including liaising with clients, candidates and contacts to arrange meetings and conference calls
- Co-ordinating travel arrangements and logistics for CEO relating to meetings and business trips
- Ad-hoc projects and tasks as directed by the CEO
