Job description
We are recruiting this role on behalf of our client who works in the real estate, asset management sector based in Mayfair (a stone's through from Bond Street station). This role will support the wider business with a varied job description reflective of the broad nature of the role. You will be supported by a team assistant, reporting directly to yourself, and be generally responsible for the running of operational function of the business, ensuring that the client has everything they need for an efficient, productive, and enjoyable environment. Based in their vibrant West London office, this role will interact closely across the UK and European teams.
This role is office-based a minimum of 4-5 days a week.
Responsibilities include:
· Oversight of the operation of the office spaces including supplier contract negotiation, implementation, and liaison with third parties to ensure a fully functioning and appropriately provisioned environment
· Implementing and maintaining company health and safety policies including managing day to day H&S e.g., acting as Fire Marshal, First Aider
· Supporting with HR activities including, but not limited to, new employee onboarding, offboarding, recruitment, meeting and greeting candidates etc
· Developing and maintaining the SharePoint site and internal documentation, including document management, filing processes, and tracking business critical documents including key contracts, subscriptions, client lists, working group lists
· Supporting the business in preparation for events (including larger team events, smaller group functions and client lunches), and awards submissions, ensuring the necessary arrangements or submissions are made in advance
· Oversight of marketing and branding across all platforms including website, press releases and social media
· General office support including visitor management, scheduling meetings and booking rooms inbound and outbound mail, organisation of couriers including for important documents with wet ink signatures
· Diary management including organising and maintaining complex and changing senior team diaries
· Travel support including liaising internally and with external travel providers to create travel itineraries including flights, hotels, transport and meeting agendas
· Lead by example and act as a role model to the Team Assistant to enable their growth, experience and development in the role
· Ad-hoc requests to support the wider business as required
Skills/Experience Required:
· Minimum 5 years’ experience working in a similar role
· Strong time management and organisation skills, with the ability to manage a fluctuating workload
· Ability to manage multiple projects under tight time constraints in a calm and effective manner
· Strong communication skills, both written and verbal with great attention to detail
· A flexible team player with high integrity and discretion when handling confidential and sensitive information
Strong work ethic and a passion for delivering excellent customer service
