Job description

We are seeking a proactive and independent Office & Facilities Manager, on an ongoing temporary basis (potential to go perm) to work for a luxury services company based in the Mayfair Office.

You will work closely with key Stakeholders, Contractors and internal staff, ensuring a seamless service and smooth running of the office.

Responsibilities

  • Acting as an ambassador and the main point of contact for building related contractors;
  • Maintaining an immaculate office consistent with the companies exacting standards, and ensuring each employee has a safe, comfortable and productive environment to work in;
  • Oversee compliance of the hard and soft services, including but not limited to AC repairs/replacement, PPM (planned preventative maintenance), general maintenance and cleaning contract;
  • Tendering out office contracts, choosing the supplier, negotiating the terms and the ongoing management of the contracts;
  • Liaising with building management and being their main point of contact;
  • Provide an annual office budget, and keep track of expenditure related to the office;
  • Draw floor plans on Microsoft Visio for all new office spaces, keep the plans up to date following any furniture or construction changes in the building;
  • Ensuring that the office is compliant with all local health & safety policies, procedures and documentation, undertaking an annual risk assessment and implementing any recommended changes;
  • Available out of office hours for office related emergencies;
  • Responsible for office security systems.

Requirements

  • 3+ years working in an office environment, ideally in a similar role;
  • You will be able to work at a fast pace, sometimes under pressure, in order to manage a challenging workload for demanding clients;
  • You will demonstrate prior experience and ability to work independently;
  • Strong written and spoken English is essential when interacting with our building contractors.

Hours 9-6pm

Hybrid – 3 days in the office 2 from home, but with flexibility when required.

3- 4 months contract, potential to go perm.

Job Types: Full-time, Temp to perm
Contract length: 4 months

Salary: £40,000.00-£45,000.00 per year
