VISA AND ADMINISTRATIVE ASSITANT
Viva la Visa is an internationally renowned, Suffolk-based company working predominantly in the entertainment industry with touring musicians, but also in Fashion, TV, Film and Theatre. We provide visas and immigration documents to travellers across the globe and our ever-increasing client base includes Ed Sheeran, Coldplay, Sir Elton John, Dua Lipa amongst others.
With the music industry being fast-paced and unpredictable, we have artists come to us for last-minute assistance with intricate paperwork and legalities. Our team are experts at navigating urgent applications, assisting clients through potentially stressful processes and ultimately ensuring we get results.
We are looking for a Visa Assistant to join our small, friendly team at our HQ in Pettaugh, Suffolk. The chosen candidate will be working directly with our team of Visa Specialists.
Experience/background
We are a niche business – you won’t find a job quite like this elsewhere. But let’s be honest, if you have a keen interest in music, it really will enhance your suitability for the job.
We have found from past recruitment that experience isn’t always necessary – it’s more important to us that you fit into our team and are willing to learn, muck in and use your initiative. A sound administrative background or even travel industry knowledge are advantages, but not necessarily pre-requisites (some of our team have come from travel backgrounds). A high level of literacy and numeracy is a must.
There is scope for career progression towards being a Visa Specialist, or further up the ranks, if you demonstrate the right skills and a knack of developing solid client relationships – the key to our success
Duties and responsibilities include, but are not limited to:
· Assisting with the processing of visa applications
· Completing forms (online & paper) with a high level of attention to detail
· Answering the phone, message taking and logging enquiries
· Providing essential support to our team of Visa Specialists with administrative tasks
· Research into changing visa and immigration rules worldwide
· General office housekeeping, maintaining office supplies, printing, filing (paper & digital)
· Taking post to post office/documents to courier depots/hand delivering documents between Suffolk & London (and further afield)
· Collecting documentation from clients’ addresses
· You may also occasionally be requested to attend passport/visa appointments on behalf of clients
· Assisting with with ensuring the office is kept stocked, clean & tidy

· Other assistant duties as required
This is an office based role, Monday-Friday (with some possible occasional out of hours work.
Working hours to be decided to meet the needs of the business and will likely be 10am-6pm.
Preferred attributes
The ideal candidate will possess a high level of literacy and numeracy, will be focused, detail-orientated and a problem-solver. Whilst the ability to take instruction from other team members is vital, it’s also important to be able to work under your own initiative, at unfamiliar tasks and research. Whilst we provide comprehensive training, we do look for someone who is able to pick up new skills and systems quickly and efficiently.
Access:
A driving licence and access to your own vehicle is essential - there is free parking on site.
