JOB DESCRIPTION
JOB TITLE: OFFICE ADMINISTRATOR
RESPONSIBLE TO: CENTRE MANAGER
JOB PURPOSE: TO COMPLETE THE ADMINISTATION TASKS
SALARY: £11/hour 10 hours/week
TASKS AND RESPONSIBILITIES
1. General
- Maintain personnel records
- Support Treasurer in regular financial reporting, both internal & external
- Ensure all paperwork and computer systems in the Centre are up to date and securely and accurately filed
- Act as secretary to the Management Committee
- Ensure that all policies are up to date
- Complete all statistics for the Centre on a regular basis
- Update notice board
- Organise AGM
- Carry out any other reasonable duties as requested by the management
2. Accounting Tasks
- Pay invoices/raise cheques
- Keep accurate records of the Centre’s finances
- Pay volunteers’ and sessional workers’ costs
- Complete weekly banking
3. Fund Raising/Publicity
- Apply for grants and contracts, keeping aware of what is available
- Liaison and follow-up re grant providers
- Capitalise any networking opportunities
- Develop the Centre’s marketing opportunities
4. Receptionist/ Telephonist
- Answer phone calls and maintain communication book
- Record telephone calls, information and appointments
- Meet and greet visitors and offer refreshments
