About the role:
We are looking for an administrator to provide professional and effective administrative support to Ormiston Academies Trust central office. This role will be the first point of contact for enquiries from a range of stakeholders including Academies, parnts, OAT staff and other stakeholders. This opportunity is a 1 year fixed term contract, to cover maternity leave. We offer a 50-50 hybrid working arrangement for this role between office work and home working.
The successful applicant will support the management of the office contracts to provide a safe, comfortable working environment for staff across head office locations. This role will be the first point of contact for email and telephone queries coming to head office. The post holder will work alongside the administration team to help with the preparation for and attendance at OAT events.
Key duties and responsibilities:
The post holder will be expected to:
- Answer telephone calls and respond to emails in a timely manner
- Manage and distribute emails from info inbox to departments in a timely manner and redirect to the appropriate team if necessary
- Ensure the electronic diary is kept up to date with work agreed and planned across the year
- Manage incoming and outgoing post for head office team including organising deliveries and collections in a timely manner
- Liaise with administration team to provide support to departments as required and within their operational needs
- Support the administration team with preparation for and attendance at events as and when required
- Complete booking requests for accommodation and travel considering company allowances and value for money. Ensure bookings are made in a timely manner to ensure best price/value.
- Manage booking requests for internal meeting rooms and desks as required at all head office locations
- Reconcile the company credit card statement charges and complete other expense reports as required

About you:
This role is perfect for someone looking for experience in a large MAT, providing administrative support to different departments across the Trust. The successful applicant will have demonstrable experience of providing admin support in an organisation. The post holder must be able to prioritise and complete a range of tasks to a high standard in a timely manner. You must be able to work well within and across teams and have a willingness to embrace and celebrate the ethos and values of OAT.
