Job Description Post: Administrative Assistant
Remuneration: Actual Salary £21,222,24 per year
Responsible to: The Office Manager
Status: Permanent
Hours: 08:00 – 16:00 Term time plus 5 Inset days and 2 weeks in the holidays
All members of staff are part of a professional team which supports the aims of the Academy. Colleagues should co-operate and be supportive in ensuring the smooth running of the school and, as members of a team, take responsibility for any child within the school community as necessary.
Main Responsibilities
1. Assist in the day -to-day smooth running of the school office including aspects of administrative organisation and reception duties when required. Act as the first point of contact for parents and visitors arriving in school.
2. Update record/information systems
3. Assist with managing the schools email inbox, ensuring the school meets its expected response times and emails are forwarded to relevant staff member as necessary
4. Deal with telephone and face-to-face enquires efficiently and in a professional and supportive manner
5. Manage and organise completed forms from parents
6. Provide administrative support to staff as needed
7. Assist with organising parents’ evenings and other meetings and events, including the organisation of rooms and equipment, and providing refreshments as required
8. Keeps records in accordance with the school’s record retention schedule and data protection law, ensuring information security and confidentiality at all times
9. Carry out first aid
PERSON SPECIFICATION
Qualifications and training
- First aid training (or wiliness to complete it)
Experience
- Carrying out administrative tasks
- Dealing with face-to-face and telephone interactions
- Working with children or young people
- Working and collaborating within a team
Skills and Knowledge
- Good oral and written communication skills
- Ability to respond quickly and effectively to issues that arise
- Ability to plan, organise and prioritise to meet deadlines
- Ability to use own initiative and act accordingly
- Excellent attention to detail
- Ability to use IT packages including word processing, spreadsheets and presentation software
- Ability to use relevant office equipment effectively
- Ability to build effective working relationships with colleagues
- Understanding of data protection and confidentiality
- Understanding of safeguarding
