Job description
The Grange School in Hartford are seeking to recruit an Office Administrator to work term time plus 10 days during the school holidays as agreed with the Office Manager. The working hours are Monday - Friday, 7:45am - 4:15pm with one hour lunch break.
To provide administrative support to assist the operations of the Senior School with specific administrative responsibility to the Director of Post 16 Education, Director of Teaching and Learning and Director of Enrichment and Outreach.
The Office and Administration Support Team is responsible for providing administration support across the school in order to allow our academic teams to spend the optimum time in carrying out the core work of the school thereby supporting the school to use its time and resources most effectively in a way that benefits our students. To achieve this, they are responsible for prioritising the administration needs of those “parent” facing colleagues, developing effective customer focused processes to meet the needs of the school community and supporting the efficient and impressive running of both day to day and major school events.
Senior School Administration Support:
- Arrangement of lesson cover for absent teachers on a daily basis and management of the cover rota liaising with the Senior Deputy Head (Operations and Staff).
- Take and produce minutes for 3 Forum meetings each per half term (these meetings take place from 4:00pm – 5:30pm approximately; the successful candidate would be required to attend for the duration of these meetings)
- Oversee the trip process as the administrative Educational Visits Coordinator using the Evolve package: Initial and follow up communications to parents, Updating staff on trip sign up, Monitoring payment deadlines using ParentPay
- Administration support for trips letters going out to parents.
- Letters/paperwork for general school letters and publication of all the weekly letters via ISAMs.
- Minuting and distribution of staff briefing.
- Covering reception as and when required (First Aid issues, lunchtimes etc).
Administrative Support to SLT Members
- Provision of administrative support to Director of Post 16 Education, Director of Teaching and Learning and Director of Enrichment and Outreach including diary management, phone calls and correspondence.
- Communication of travel and accommodation requirements to the Bursary team to coordinate with diary management.
Events Support:
- Assisting at school on Open Day which is currently held annually on a Saturday in September.
Other
- To carry out any other roles commensurate with this role which the Head or Chief Operating Officer deem appropriate to deliver the objectives of the school.
