We are currently seeking a full-time Office Administrator to join our team. The successful candidate will be responsible for managing the day-to-day operations of the office, overseeing ongoing renewal processes, registering deposits, database management, and handling various adhoc duties. The ideal candidate will possess excellent organizational skills, strong attention to detail, and the ability to multitask effectively in a fast-paced environment.
As part of our busy team, you will regularly interact with branch colleagues, landlords, and tenants via email and phone, necessitating strong customer service and administration skills. The working hours for this position are Monday to Friday, from 9 am to 6 pm.
Responsibilities:
- Manage office supplies and equipment.
- Answer phone calls and emails from customers and vendors.
- Organize and maintain filing systems.
- Maintain office records, including personnel files.
- Schedule appointments and meetings.
- Liaise between contractors and tenants.
- Prepare rental statements for landlords.
- Prepare all paperwork and facilitate the progress of agreed tenancies.
- Register tenants' deposits and coordinate their release.
- Organize annual gas safety certificates for properties, ensuring compliance before move-in by collaborating with tenants and contractors.
- Arrange check-ins and checkout inventories.
- Handle renewal paperwork.
Skills and Experience:
- Excellent written and verbal communication skills.
- Ability to manage workload, multitask, and maintain composure under pressure.
- Proficiency in meeting strict deadlines, even during busy periods.
- Strong organizational skills.
- Pleasant telephone manner.
- Good working knowledge of Excel, PowerPoint, and Word.
