Job description
We have an immediate position available for an Office Adminstrator for a busy construction company based in Yardley Wood Birmingham.
This is a permanent role, office based, working hours 8.00am – 5.00pm, Monday - Friday
General duties to include;
- General administration
- Answering phones, taking messages and transferring calls.
- Printing, filing, laminating, scanning.
- Scan and save tickets/documents from sites.
- Fill up spreadsheets for aggregate, fuel and concrete with the information from tickets.
- Create Health and Safety Site folders for new projects.
- Scan Health and Safety Site folders once they are delivered to the office.
- Register once the tickets are delivered to the office in SpreadSheet Weekly Tickets.
- Opening post, date stamp and distribute to the relevant persons as a matter of urgency (this take priority over all tasks).
- Checking and recording all fuel card receipts reconciling the fuel cards invoice; scanned and save to individual’s folder and added to Fuel Card Tracker Spread Sheet
- Order stationary materials.
- Place PPE orders, organise and prepare stock and distribution, Including site consumables such as dust mask filters, diamond blades etc
- Maintain register of costs and stock lists for PPE/Blades etc
- Live job updates for the office, making sure these are distributed and updated on approval of Contracts Manager
- Amend HAVS form and send to the Site Manager and Contract Manager, containing the tool and vibration level. Request specification sheet from Plant Department.
- Maintaining HAVS spreadsheet. –Monitoring were HAVS exceed allowance and advise HR.
- Maintain the signing in register for employees and visitors – Scan onto system in Admin
- Assist with site operative onboarding – copy and scan tickets / relevant documents / Face Fit test when required
- Assist with booking training courses for site operatives and keeping up to date records of training
- Monitor emails / Save LPM’s and Timesheets to relevant contract folder
Previous experience within a similar role is not essential as specific trains will be provided, just self motivation and a willingness to work hard and develop. But must be confident in use of computers, Excel and Word. Any specific management software(s) as part of job role will have training provided once the role has started
