The Company:

Gleneagles Project Services Ltd is a dedicated, high-quality consultancy specialising in a range of construction industry sectors, specialising in Retail. Our services include Highways Engineering and Programme Management supported by our dedicated Project Management Service. We are a small business, with modern offices on the outskirts of Huddersfield, with great motorway access.

Job Description:

The job will have a variety of responsibilities including: project administration support and project tracking, office related H&S matters, maintaining facilities, as well as general administration and office duties.

  • Raising and processing orders with various clients.
  • Using accounting software to produce quotes, purchase orders etc.
  • Processing of expenses.
  • Project Management support.
  • Administrative support for the office and management team.
  • Travel and accommodation planning and booking.
  • Fire safety in the office, including regular alarm testing and ensuring maintenance is completed on time.
  • Maintenance of all H&S record keeping, including safety checks.
  • Monitoring and replacing PPE when required.
  • Arranging building maintenance including emergency lighting testing and fire extinguisher maintenance.
  • Maintaining training records for all employees and ensuring training courses are booked.
  • Maintaining car and driving licence records for all employees.
  • General Admin responsibilities, such as ensuring visitors are greeted in a professional, friendly manner.
  • Dealing with both internal and external telephone calls.
  • Keeping office and meeting rooms tidy and fully stocked.
  • Ensuring the working order of office equipment such as printers, that they are fully stocked and to deal with any errors correctly.
  • Monitor stationery levels and communicate when needing re-stocking.
  • Filing and archiving of projects.
  • Other administrative duties as required by the business.

Requirements:

Essential:

  • Educated to A Level standard
  • Excellent working knowledge of Microsoft Office, especially Excel and Word
  • Accurate and thorough approach with excellent attention to detail
  • Strong time keeping / time management
  • Positive, pro-active approach
  • Ability to work autonomously
  • Good level of oral and written communication skills with peers of all levels, up to senior management
  • Excellent telephone manner
  • Ability to multi-task

Desirable:

  • Experience in a similar role
  • Experience in the Construction industry
  • AutoCAD experience would be an advantage
  • Experience of managing office health and safety
  • First Aid at work qualification
