Hours per week - Minimum 30 hrs (negotiable)
We are looking for someone with at least 2 year experience working within General Practice and who has an understanding of searches, H&S requirements, Information Governance, Data Protection and Risk Assessments.
Job Summary
To support the Practice Manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities, optimising efficiency, and overall performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.
The Data / Office administrator will focus on areas of Health & Safety, IT security, Information Governance, Confidentiality, Collaborative Working, Service Delivery, Learning and Development and promoting a positive working environment.
To be responsible for and monitoring of searches, ensuring all administrative duties are performed effectively and to the required standard and meets the objectives of the practice. Monitor support to the Management Team and carry out other duties as directed by the Management Team / GP Partners
Primary Responsibilities
The following are the core responsibilities of the Data / Office Administrator
- Supporting the practice manager, to ensure staff achieve their primary responsibilities
- Monitoring compliance with health and safety legislation
- Managing the clinical system, always ensuring IT security and IG compliance
- Overseeing the Information Governance procedures
- Implementing systems to ensure compliance with CQC regulations and standards
- To be aware of the Data Protection Act and of its importance and relevance to General Practice and advise on upgrading or renewing as appropriate.
- Responding and resolving all local IT issues where appropriate in liaison with IT
- Guiding the team to reach QOF targets (supported by the Clinical and Administrative Leads)
- Maintaining the significant event database, providing advice to staff and briefing the team at meetings as required
- Non-Clinical Lead regarding safeguarding, working closely with the Clinical Lead
- Developing, implementing, and embedding the practice audit programme (in conjunction with the Medicine Co-ordinator)
- Act as the building contact, dealing with defects, maintenance, and all other associated tasks
- Coordinate portable appliance testing (PAT)
- Maintain an equipment log
- Manage asset registers as directed by the practice manager
- Act as the communication link between the management team and staff
- Represent the practice locally at Network and place level as required
- Maintain a working knowledge of ICB initiatives
- To ensure the EMIS system is maintained appropriately including adding new users, setting up ICE (pathology test request system) users.
- To understand the Quality & Outcomes Framework and EMIS Population Manager and when necessary, carry out searches
- Ad hoc projects as required by the Practice Manager
- Population Health data, searches and support with projects.
Secondary Responsibilities
In addition to the primary responsibilities, the support administrator may be requested to:
- Reviewing and updating of practice policies and procedures to ensure they are up to date with any changes
- To act as data input clerk as required, with responsibility for the inputting of data according to established routine
- To assist in general office duties and reception work as required due to absence or annual leave.
- Actively encouraging and promoting the use of patient online services
- Lead the management of the Patient Participation Group
- Any other administration or IT tasks allocated by the doctors or Practice Manager.
There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
