We have an exciting opportunity for an experienced Office Administrator to join our Team in our London office on a 12 month Maternity cover Contract.
The Office Administrator is responsible for the day-to-day management of the office, which will allow a productive working environment for staff.
It is essential that you have excellent Microsoft Office skills, great communication skills and experience in a similar office environment. Previous reception experience would be advantageous. You will be self-motivated, flexible and able to work on your own initiative, as well as work as part of a team.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:
RESPONSIBILITES
Maintain the office at the highest standards and arrange necessary repairs- Travel arrangements and billing for senior management
- Coordinate the receipt and distribution of mail and packages
- Make sure that all incoming invoices related to the office supplies are registered and paid on time
- Orientation and Onboarding process for the new employees
- Provide support to visitors including visitor passes
- Support employees and managers with Office Administration related queries
- Organise company events, such as Summer/Christmas parties, birthday parties and team building events with the Office MD
- Partner with the Office MD & HR to maintain office policies
- Coordinate the health & safety policies applicable in the office
- Maintaining the reception phone
- Keep contact with Payroll, Finance, and HR
- Provide administrative help for employees so they can stay focused on their development task
- Facilitate internal communication (distribute information)
- Other duties may be assigned at the discretion of management in the context of the role
SKILLS AND ATTRIBUTES
- 3+ years’ experience as an office administrator or in a similar role
- Excellent knowledge of English (as a company language)
- Demonstrates highest level of ability in all aspects of communications
- Excellent problem-solving ability
- Expert proficiency in Microsoft Office, Word, Excel and Powerpoint
- Exceptional organizational and multitasking abilities
- Proactive, self-starter, proven initiative
- Reliable and accurate work
- Demonstrate process discipline
