You will report directly to the Finance & Operations Manager but will work closely with all departments providing a wide range of administrative and support duties to a friendly and highly skilled team.
You’ll be able to work with limited supervision, have previous office experience and enjoy managing multiple tasks and priorities. You will have a warm and friendly manner making the people who contact us feel valued. This is a role that demands empathy, flexibility, and proactivity.
Purpose of the role:
· To support the efficient running of APF’s office
· Support the whole team with administrative duties to ensure the successful implementation of charity objectives.

· Staff at APF
· Patients and family members
Reports to: Head of Finance & Operations
Main Duties:
All duties must be completed accurately and in a timely manner, meeting exact deadlines to maintain a high standard of day-to-day operational service.
· Act as the first point of contact for APF, including enquiries that may be emotive by telephone, email and letter.
· Ensure donations received at the office are recorded and acknowledged.
· Effective running of the postal function (inbound and outbound)
· Ensure adequate supplies of stationery in the office and across the team.
· Recruitment admin – posting ads, storing and sorting applications, interview arrangements, correspondence and DBS applications.
· Inventory management and coordination of IT requirements
· Help with scheduling and planning around key projects.
· Data entry, analysis, collation, data transfer, CRM upkeep, running reports and updating mailing lists. Mail merge and mass email tools. Training will be given.
· Administrative support for Policy & Public Affairs, Support Services and Fundraising Teams
· General administration tasks required for the effective implementation of charity objectives.

Part one: knowledge and experience
· Administration level 2 qualification and/or previous office experience.
· Experience of using financial and/or fundraising databases (desirable not essential) We use Xero and E-Tapestry for which full training will be given.
· Experience of supporting multiple teams and ability to prioritise.
· Able to develop and maintain successful relationships with colleagues and stakeholders.
· Experience of being a first point of contact via phone, email and web (including social media)
· Experience of updating websites desirable
