The Role:We are looking for a trusted, highly credible full-time PA/Administration Assistant for our Senior Leadership Team and Founders. Reporting into the Human Resources Director and partnering closely with the Office Manager & EA to the CEO on all aspects of organisation and administration for our business leaders.
Responsibilities:- Managing the day-to-day calendars of the Senior Leadership Team (SLT) of 6 and our 2 Founders, including inbox management, arranging meetings and prioritising appointments accordingly.
- Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on behalf of the SLT.
- Produce, collate information, organise and ensure the distribution of papers/reports in advance of meetings.
- Maintain business specific reports where required.
- Assisting with the management and administration of the Data Protection inbox; actioning request relating to data protection and liaising effectively with the Data Protection Officer (DPO.)
- Supporting the Office Manager on any Health and Safety related tasks and effective, safe set up of the office environment..
- Ensure the smooth running of incoming and outgoing courier and postal deliveries.
- Ensure any visitors to the building are welcomed appropriately.
- Take responsibility for weekly food and beverage orders.
- Provide practical support with delivering engagement activities across the company.
- Steps in to cover duties and responsibilities in the absence of the Office Manager as required.
- PA/Administration experience supporting senior leaders.
- Proficient with Microsoft Office.
- Excellent communication skills, both written and verbal.
- Ability to work effectively with minimal supervision.
- Detail oriented - excellent attention to detail, especially in written communication.
- Ability to treat confidential information with appropriate discretion and have a high level of integrity.
- Previous office/facilities management experience would be an advantage.
Please note, this role requires a minimum of 4 days per week in the office with 1 day at home (to be agreed on a rota basis with the Office Manager.)
