Job Title: Night Residential Concierge

Hours & Shifts: 4 nights on, 4 nights break – 7pm to 7am (c. 42 hrs a week)

Location: Green Walk, SE1

Reporting to: Deputy Estate Manager / Estate Manager

Main Duties and Responsibilities:

  • To meet and greet all residents, visitors, contractors in a courteous and professional manner at all times
  • Ensure that permits are issued to all contractors upon their arrival
  • Enforce estate policies issued by the Freeholder and Estate Manager
  • To be cheerful and courteous at all times
  • To answer in a professional manner any incoming telephone calls at the reception desk
  • To comply with the internet and email policy & procedures
  • To maintain a consistently smart and professional appearance
  • To build good rapport with the Tenants, property owners and respond promptly to their needs and to log all reported repairs, complaints and queries.
  • To log deliveries of parcels, store and release parcels using the online tracking system.
  • To understand and know how all buildings operate individually with all aspects of technologies in place such as access control, ventilation system, emergency procedures, lifts operations etc.
  • To ensure all buildings are maintained to a level reflective of the quality of the development and to report any defects to Estate Manager / Property Manager
  • To monitor Health and Safety testing and standards and to report and anything that may cause a hazard immediately to the Estate Manager / Property Manager
  • Managing the movement of all bins paladins, to ensure the council can collect and empty bins during bin collections days.
  • To log any contravention by the residents of the rules of the building and any unacceptable conduct, e.g. late night noise, or any breach of lease in accordance with the reporting procedure
  • To report to the Estate Manager any change of occupation you have not been made aware of.
  • To enter any accident in the Accident Book provided
  • To ensure you wear the appropriate protective clothing when inspecting any areas under construction.
  • To comply with all instructions or requirements in relation to Health and Safety at Work.
  • To monitor activity within the building and report anything out of the ordinary, i.e. subletting, illegal activities
  • To assist and oversee the parking arrangements on the estate and liaise with Estate Manager to ensure the parking policy is adhered to
  • To maintain security of all buildings and to work as a team assisting security overseeing the CCTV as and when required
  • To act as key holder when flat owners have provided consents for their flats to be accessed e.g. contractors carrying out repairs or providing services flat owners have agreed
  • To be familiar with all emergency evacuation and emergency procedures for the building
  • To act as the fire warden for the simultaneous evacuation procedure, relevant training can be provided.
  • To be familiar with the use of CCTV, Data Protection Act 1998, Data Sharing
  • To carry out frequent patrols of the estates and buildings
  • To carry out weekly fire alarm testing – training to be provided
  • To carry out weekly lifts alarm testing – training to be provided
  • To assist the Deputy Estate Manager and/or Estate Manager in undertaking a ‘flick test’ of emergency lighting – training to be provided
  • To only facilitate access for contractors and utility companies when access has been granted by Estate Manager
  • To ensure the postman has access to each building for sorting letters in letter boxes
  • To communicate any defects to Estate Manager
  • To report to the Estate Manager any matter or problem that requires his knowledge or assistance and to accept their instructions regarding any additional duties that may be necessary
  • To ensure the common areas and reception are kept in a clean and tidy condition and in accordance with the leasehold conditions and to report immediately any discrepancy(ies) to the Estate Manager
  • Where a resident has left goods within the common areas to ensure they are removed to avoid any breach of Health and Safety and fire precautions. Liaise with the resident accordingly and inform the Estate Manager if goods are not removed immediately.
  • To ensure that particular care will need to be taken when Tenants are moving in and out of flats (protecting the lifts, walls etc).
  • To assist Tenants with luggage and shopping when possible but not so as to put yourself at undue risk from injury
  • To maintain log books and computer electronic files up to date as provided by the Estate Manager
  • To ensure that you login all contractor visits (in and out), incidents and other matters concerning any buildings at The Jam Factory
  • Carry out any other duty or task which may be reasonably required or requested of you by either the Estate Manager or the Freeholder.

General:

  • To contact the local police station immediately in the event of any suspicious behaviour. You should ensure that the telephone number of the local police station is readily available and in emergencies dial 999.
  • Health and Safety is of paramount importance. You must ensure you do not put yourself, a colleague, contractor, resident or visitor in a dangerous position. All areas of risk must be labelled, sealed off and suitable warnings put up. All incidents should be reported to the Estate Manager soon as possible.
  • If contractors attend site and you are unhappy with the manner in which they are working and believe it presents a hazard then they must be politely told to stop work and then inform the Estate Manager
  • You must not undertake private jobs for the residents. The Employers Liability insurance only covers you whilst you are carrying out your duties in the building, you are therefore not insured to carry out any additional private jobs.
  • Carry out any other duty or task which may be reasonably required or requested of you by either the Estate Manager or The Freeholder

Skills

  • Strong experience in a similar role
  • Excellent command of verbal and written English
  • Good inter-personal skills
  • Neat, professional appearance, to comply with the Estate Dress Code
  • Good computer skills; Good Microsoft Office Skills
  • A positive, proactive, 'can-do' attitude
