The Team

The MIS & Exams team is responsible for accurate, reliable and timely student management information, and it aims to provide
a high quality, customer-focussed, professional service which enhances the student journey from enrolment to achievement
whilst adhering to strict funding body and examination regulations.

The Role

The postholder will be required to co-ordinate, administer and understand the MIS & Exams function, ensuring compliance with
statutory procedures, current funding methodology, College policy and departmental guidelines. MIS & Exams Co-ordinators
are primary contacts for allocated curriculum areas and are responsible for all administrative and compliance elements of
timetabling, course set-ups, enrolments, qualification registrations, examinations and certification claims. This role is key to
developing and optimising the use of our student management information systems.

The Successful Candidate

The successful candidate’s knowledge, skills, experience, abilities and qualities will include:

  • A minimum Level 3 qualification in a relevant numerate, technical or scientific discipline
  • A good all-round education which includes Maths and English to GCSE (Grade A*-C) or equivalent level.
  • Excellent IT skills
  • Strong analytical and problem-solving skills with the ability to interpret and advise on the implications of data.
  • Experience of working in a busy customer-facing environment and have excellent customer service skills.
  • Able to work effectively with staff at all levels.

The postholder will be required to co-ordinate, administer and understand the MIS & Exams function, ensuring compliance with
statutory procedures, current funding methodology, College policy and departmental guidelines. They will ensure all student
data and funding information is accurate, reliable and accessible, and provide a high quality, customer-focussed, professional
service, by liaising and working effectively with other College staff, attending meetings and focus groups. They will be required
to actively develop new systems and processes, improve efficiency and provide effective support and training to colleagues and
allocated curriculum areas.



Role Specification

  • Maintain and develop all MIS & Exams processes and systems, ensuring compliance with statutory procedures, College
policy and departmental guidelines.
  • Be responsible for ensuring all aspects of the student records systems (learner data, timetables, registers, courses, learning
aims, base data, qualifications on entry, etc) are reliable and accurate, supporting the ILR & Data Manager and liaising with
the MIS & Exams Administrators in order to meet all official deadlines.
  • Work with the ILR & Data Co-ordinator to audit and validate student and funding data by using various software packages
(e.g. ProSolution and PDSAT) and carry out regular checks and inspections to maintain integrity of data for all funding
streams.
  • Provide curriculum managers and business support staff with accurate and timely advice and guidance, particularly in
relation to the course file, checking that learning aims are valid for funding prior to updating course set-ups.
  • Regularly check, review and update student loans information to ensure data is accurate and learner attendance is logged
in accordance with official deadlines.
  • Optimise the student records system and other associated software in order to maximise funding and ensure compliance.
  • Provide accurate and relevant information, interpreting and implementing the needs of non-technical customers and use the
appropriate reporting tools to present data clearly.
  • Identify potential issues and use problem solving skills to ensure minimal disruption and to provide an excellent
departmental service.
  • Maintain an expert knowledge of the College’s management information systems and the procedures necessary for the
collection and processing of required data.
  • Regularly review and monitor departmental procedures with the Director of MIS, the ILR & Data Manager and the Exams
Manager, ensuring changes are implemented accordingly.
  • Design and conduct training for relevant staff across all campuses in relation to MIS and Exams functions and processes,
including the timetabling and attendance systems, to ensure MIS systems are used correctly, effectively and deadlines are
met.
  • Work with the Exams Manager to ensure learners are correctly registered with awarding bodies, appropriate access
arrangements are officially authorised and put in place, and ensure exams are effectively organised and supervised to fully
comply with official JCQ regulations.
  • Support the Director of MIS, the ILR & Data Manager and Exams Manager to ensure the team provides a first-class service
by attending focus groups and responding positively to feedback.
  • Assist with the preparation of internal and external audit visits, including data collection and collating of information.
  • Participate and assist in cross-college events such as enrolment sessions.
