Merchandising and Licensing Administrator
Opened in 2021, Harry Potter: A Forbidden Forest Experience is an official experience partner of Warner Bros., producing a new concept experience for fans of the film franchise .
A night-time woodland trail filled with magical creatures and wizarding wonders from the Harry
Potter and Fantastic Beasts films, guests explore the sounds, lights, and special effects that bring the magic of the Wizarding World to life. The trail has already won awards within the experiential tourism industry and is set to become a global project. With expansion plans for multiple sites around the world, with a focus on Europe and America in 2022-23, we are expanding our team to facilitate this exciting growth.
Location:
Remote working with flexibility to travel for meetings and site visits, if required.
Working Hours:
Typically 09:00 – 17:00 or 10:00 – 18:00 five days per week. Some evening and weekend work will be required during key project phases. Flexibility on working hours is a must, given transatlantic teams.
Salary:
Up to £150 per day depending on experience. Freelance position.
Overview:
As the project moves into an exciting phase of global expansion, to multiple sites, we are looking at expanding our retail licensing and merchandising offering. You will be assisting the
Merchandise & Licensing team with the day-to-day administrative tasks relating to the
Experience’s merchandise & licensing programme and retail operations. The role will cover the retail offering for sites within America and across Europe.
Responsibilities
● Support the retail team with varied administration tasks, travel arrangements and expense management
● Provide customer service as first point of contact for retail and address guest administrative queries
● Assist with the purchasing administration process through the raising of purchase orders and issuing to suppliers
● Responsible for the timely reconciliation of purchase orders to goods received and cost
● Assist with timely resolution of invoice discrepancies
● Manage the entering all new product information into stock management system
● Manage the entering all purchase details (vendors information, invoices and pricing) into stock management system
● Assist in accurately maintaining inventory management systems.
● Spreadsheet management updating product inventory, order tracking and financial information.
● Monitoring of orders until the item has been delivered
● Assist with logistics coordination for all shipments domestically and internationally
What you will need to succeed
● Numerical and problem-solving skills.
● Accuracy and high attention to detail.
● Excellent written and spoken communication skills.
● Ability to multi-task and work in a very fast paced environment. Priorities can change daily and ability to adapt is needed
● You will work well as a team member as well as under your own initiative with limited support required
● Inventory knowledge and experience is preferable but not essential.
Key Requirements
Administrative expert with experience of Google Workspace (including Drive, Docs, Sheets and
Slides) and Microsoft Office, Excel.
