An exceptional opportunity has arisen for an Executive Assistant to play a key role in the leadership of the Kitchen and Bath, Global Product Innovation (GPI) team, at Kohler Co.
Reporting to the VP Global Product Innovation, in this role you will provide confidential administrative, secretarial, and business support to the VP Global Product Innovation. It’s a crucial role to ensure that he is supported day to day, and appropriately prepared for meetings.
Responsibilities include diary co-ordination and the coordination of travel and administration arrangements. You will also proactively manage a wide range of business communications daily with Global Business Leaders and all levels of associates within the business as required.
As a self-starter, you will be able to problem solve and take action without prompt, using your own initiative to delight our customers and associates alike. You will also provide support to Global events as required, with the opportunity to play a key part in the management and coordination of events such as the New Product Schedule.
Responsibilities
Promote a professional and efficient office environment, enabling the team to deliver high-quality and efficient service to clients.- Provide general administrative support to the Executive leader outlined, noting the global nature of the responsibilities and therefore a need to be flexible outside of UK core working hours to ensure appropriate support.
- Lead for GPI meetings, including in person, hybrid and also virtual meetings. Manage all accommodation, event and transport arrangements, working with key partners to deliver a first in class experience for attendees.
- Prepare documentation for meetings, proactively ensuring the leaders are prepared ahead of time with any pre-reading materials and actions available where required.
- Work with wider Global administrative team to coordinate events, meetings and travel as required.
- Respond appropriately to requests for information etc., particularly from wider Kohler Co. and key customers and associates
- Act as the first point of contact with people from both inside and outside the organisation always ensuring a high level of customer service.
- Devise and maintain office systems, including data management and filing.
- Work with the legal team to ensure timely and accurate completion of documents for statutory and legal compliance.
- Diary management, requiring interaction with both internal and external stakeholders to arrange a variety of meetings, monitoring incoming e-mails and highlighting urgent action especially when the leader is out of the office.
- Ad hoc opportunity to attend and support events in Kohler, Wisconsin, US as agreed with VP – GPI.
- Booking meeting rooms, organising catering, setting up team meetings and customer meetings.
- Preparing reports as appropriate.
- UK and Overseas travel arrangements for the team as required.

- Excellent communication skills.
- Experience in a similar administratively complex role is essential.
- Excellent PC skills including all Microsoft Office, Outlook (diary and meeting management), video and telephone conferencing.
- Highly customer focused (internal and external).
- Flexible approach to working hours, including out-of-hours support where required and occasional travel.
