An opportunity has arisen for a motivated, well organised person to join our friendly team working in the Unscheduled Care Directorate based at the Great Western Hospital as a Medical Secretary. You will be working in the Department of Gastroenterology
Your role is to provide a comprehensive secretarial role to assist consultants and their teams which will involve typing clinic letters and other related documents with high accuracy and in line with agreed Trust targets. You will be working 37.5 hours per week.
The ideal candidate should have good communication skills and be able to prioritise their own workload. GCSE in English and RSA Typing or equivalent keyboards skills are essential. Previous NHS experience and a knowledge of medical terminology are desirable. Audio typing experience and use of Microsoft packages are essential.
Providing a secretarial service to two Consultants which includes typing clinic letters and general correspondence from a digital dictation app in a timely manner
Ability to deal with patients and their complaints in a professional manner.

Type clinic and admin letters to general practitioners, consultants, other hospitals, patients etc. as dictated following outpatient visits to clinic, inpatient stay or in response to queries from other departments, to a high standard and accurately presented. Typing validation letters for endoscopy and extra clinics run by locums
Tracking patients with cancer from clinic, through tests, adding patients to cancer MDT list, liaising with Oxford to book appointments and follow up in clinic
Referring patients to other hospitals and liaising with the Consultants secretaries regarding results, appointments etc .
Open, sort and prioritise post, pass on to appropriate personnel. Ensure outgoing mail is despatched regularly.
Pull off Choose and Book letters, copy into Medway and pass to Consultant for assessment. Deactivate referrals on Medway that are going straight to endoscopy. Maintain new appointment letters in central file in preparation for clinic visit.
Submit referrals from GPs/other consultants to Health Records for registration; pass to consultant for assessment, and then onto Booking Centre/Clinic Reception/ Appointments Clerk as appropriate for appointments to be made.
Check patient status, results, x-ray/DEXA scan bookings and appointments using Medway electronic patient record system. Ensure patient personal details (name, address, telephone number, GP) are correct and amend if necessary. Check that x-rays, follow-up appointments, etc have been booked when mentioned in correspondence/ ward discharges. Arrange above when this has been omitted.
Deal with telephone/written queries from patients on times of clinic appointments/ delays/cancellations/follow-ups. Inform relevant departments in good time of likely clinic cancellations or changes due to appointments/illness/leave, etc.
Ensure that pathology and x-ray reports are matched with the correct case notes and are brought to the attention of the requesting doctor. Chase up results which may have not been available when the patient was seen but are published at the time letters are typed; bring to the notice of the consultant.
Follow up referrals of patients to other hospitals.
Monitor and maintain clinic lists, ensuring patients are booked into appropriate slots, moving patients when booked inappropriately, ensuring clinics are fully booked. Manage clinic lists and move patients to accommodate urgent appointments if no slots available.
Find and produce at short notice copies of correspondence relating to patient’s last visit in the absence of case notes for outpatient appointments.
Review list of patients coming from Endoscopy back to clinic, ensuring that they are booked into the correct slots, ie new patient slot or follow up slot and correct consultant list.
Booking annual leave and study leave for consultant. Ensure commitments are cancelled, ie clinics and endoscopy sessions, checking that these have been done by the relevant person
Arrange meetings, book rooms and equipment as requested. Co-ordinate diaries. Take Minutes and prepare Agenda items.
Deal with enquiries from patients, other consultants and general practitioners, either by telephone, e-mail or letter, in an efficient and sympathetic manner.
Order stationery as required and maintain suitable stock.
Logging statistical information, ie number of referrals, pink slips, fast tract referrals on to spreadsheet.
Provide backfill for Band 4 post during periods of annual leave or sickness leave.
Any other secretarial duties as required by the consultant and their team.
In addition to the duties and responsibilities listed, the jobholder may be required to perform other duties assigned by the consultant/manager from time to time.
