Job description
We are looking to recruit a Medical Receptionist/Administrator to join our friendly and supportive team. The post is up to 37.5hrs per week between Monday and Friday. Hours will be between 8am and 8pm. There will be occasional Saturday work available on an overtime basis. You will work as part of a team and need to provide some flexibility on the hours that you work.
You will be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. You will act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
Applicants should have excellent verbal and written communication skills, be hard working and have common sense and the ability to multitask. Excellent customer care and patience are essential skills for this role.
Experience of working in a GP or healthcare environment is desirable although training will be provided.
Flexibility to work mornings from 7.45am and provide cover until 8.30pm is essential. Some overtime is available to help cover holidays and sickness when required.
We are a GMS teaching practice located in central West Kirby, caring for over 19400 patients and have an elderly patient demographic. The practice is made up of 10 GP partners, 5 salaried GPs, 3 ANPs, 6 Practice Nurses, 2 HCAs and 2 phlebotomists. The clinical team is supported by an efficient clerical team.
We are involved with Liverpool University Medical School and have a teaching ethos hosting medical students, F2s and train ST3s.

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks in other teams; this will be dependent upon factors such as workload and staffing levels:
a. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
b. Process personal, telephone and e-requests for appointments
c. Maintain and monitor the practice appointment system
d. Signpost patients to the correct service
e. Initiating contact with and responding to, requests from patients, team members and external agencies
f. Read code data on EmisWeb
g. Photocopy documentation as required
h. Data entry of new and temporary registrations and relevant patient information as required
i. Input data into the patients’ healthcare records as necessary
j. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
k. Manage all queries as necessary in an efficient manner
l. Carry out system searches as requested
m. Maintain a clean, tidy, effective working area at all times
n. Monitor and maintain the reception area and notice boards
o. Support all clinical staff with general tasks as requested
