What Your Day Looks Like:
- Manage multi-line telephone by answering phones, giving information to callers, taking messages, and transferring calls to appropriate individuals
- Welcome and interact with clients and visitors who enter the office
- Operate office equipment such as fax machines, copiers, binding equipment or phone systems. Arrange for repairs when equipment malfunctions
- Coordinate meetings and conference call arrangements, including coordination of rooms, technical resources, and catering
- Maintain the professional appearance of conference rooms and common areas
- Distribute mail, file, and stock kitchen and supply closet as needed.
- Receive and send correspondence by mail, email, client portals, and fax
- Prepare daily cash receipt deposits
- Assist with expense report submissions
- Enter new client setup information into time and billing system.
- Process e-files and send tax returns to clients
- Prepare invoices, reports, memos, letters, financial statements, and other documents using work processing, spreadsheet, database, or presentation software
- Prepare checker's checklist during proofing of financial statements
- High school diploma required; degree in Business Administration or related field preferred
- 2+ years of administrative experience in a professional services environment preferred
- Superior verbal and written communication skills, including advanced knowledge of current grammar and punctuation standards
- Work and communicate effectively with professionals at all levels
- Possess advanced-level knowledge of popular word processing and administrative programs
- Ability to work in a deadline-driven environment and handle multiple projects/tasks with attention to detail
- Successfully multi-task while working independently or in coordination with other administrative or management professionals
- Understand and maintains confidentiality of all information
