Role Purpose
The Marketing Assistant (Marketing Communications) & Tender Analyst is responsible for supporting the BD Medication Delivery Solutions (MDS) Marketing team in all aspects of tactical marketing with a focus on Marketing Communications and Tender fulfilment. This will include supporting the team with general administration of marketing communications from creation to production (incl. periodical updates and retirement) such as the approval process and system, regular marketing budget control, various aspects of marketing communications incl. input into the Customer Relationship Management (CRM) system, administration of some digital communications tools (ShowPad), management of samples and demo stock as required and extraction of reports from various systems for management decision; The Marketing Assistant will also be supporting the MDS marketing and sales team in completing submissions for national or regional tenders.
The role reports to the Marketing Manager and works closely with the MDS Marketing sales and clinical teams as well as other Business Units’ Marketing Assistants and the EU Marketing team. Overnight travel may be required mainly in the UK & Ireland, and occasionally internationally as per business needs.
The position is a 2 year rotating internship on a Fixed Term Contract basis; During the duration of the internship, the successful candidate will have the potential to explore a variety of product portfolios within MDS in order to broaden their experience and knowledge of the MDS product and service offering;
Roles and Responsibilities:
2.1 Graphic & Material Support
- Provide day-to-day general and marketing support for the management and creation of all marketing communications materials within MDS across all marketing portfolios as required by the Marketing Manager;
- Co-ordinate the development of marketing communications collaterals, working as needed with the internal graphic design team and external marketing communications agencies in collaboration with the relevant project lead in the marketing team;
- Ensuring strict application of global brand guidelines to all materials, support the development of materials.
- Promotional Items Supply and Development: Work in collaboration with the MDS Events Coordinator and the wider marketing team to identify relevant promotional items and manage their production and stock keeping;

Digital and Web:
- Collaborate with the BDX Digital Marketing Team to drive the MDS Digital agenda – This might include content support (imagery and product details), update of Web pages, collaboration with copy-writers and medical writers
- Regularly review existing content on the MDS web pages and support product managers through regular update and content review
- Monitor and report the performance of the MDS web pages to integrate in Product Managers monthly reports.
2.2 Materials approval process management - BD AdProm Approval Process (VeevaVault)
- Be the Point of Contact for all matters related to the AdProm process for the relevant portfolio of products
- Drive the process in collaboration with Key Stakeholders including members of the marketing and clinical teams, regulatory and legal as well as the internal creative studio – This requires a high level of inter-personal skills to deliver on time
2.3 Product samples and marketing materials
- Manage ‘Print Store’ or equivalent system of external storage, coordinate ad hoc supply of samples and printed communication materials to the field force in line with appropriate processes.
2.4 Collaterals & Sales Tools:
- Coordinate and update iPad and ShowPad content.
- Ensure appropriate website updates
2.6 Tender Management
- Support the MDS marketing and sales teams with Tender Management tasks as required
Shared Responsibilities
Occasionally collaborate with other Marketing Assistants within MDS or other BUs or provide support on following tasks
3.1 Financial Control
- Complete and update the MDS Marketing Budget tracker.
- Raise Purchase Orders and/or Miscellaneous Payments requests for relevant vendors
- Reconcile MDS Marketing Budget Tracker monthly with the relevant Financial Business Planning Analyst
3.2 Internal & External Events:
- Support the MDS Events Coordinator when needed, in the creation of marketing communications materials and supply of samples
- Personally attend Internal and External events (about 10% travel local to the UK & Ireland)
3.3 Ethics and Compliance approval processes
- Ensure the correct procedures for all the necessary documentation and approvals are completed in a timely manner and tracked in the appropriate system.
- Coordinate Purchase Orders & invoices for all sponsorships/events approved through Compass and marketing spend
3.4 MDS ‘newsletter’ generation
- Liaise with the marketing team to publish a weekly Marketing Update and any success stories for publication in the European update newsletter
3.5 Customer relationship & Product Complaints Management
- Updating the CRM System with enquiries, leads and opportunities including uploading Complaints Management related or any other communications as required.
- Handling of customer, customer care & sales team queries and contribute to maximising the effectiveness of the service to MDS customers
- Provide day-to-day general and marketing support across marketing portfolio as required by the Products Complaints Management Process in collaboration with the Quality team.
- Provide support to the UK&I sales team on events, customer calls and in events where business requirements suggest; e.g. support on basic customer conversions.
KEY COMPETENCIES
4.1 Desired skills & Experience
- Educated to Degree level in marketing, science or business-related discipline is essential
- Will suit recent graduate or someone with 1-2 years’ experience in a marketing support role
- Experience in a marketing communications agency would be an advantage
- Full fluency in English essential
4.2 Ability and experience:
- Computer literacy with a good knowledge of the Microsoft Office Suite, especially Microsoft Excel
- Good personal accountability and integrity
- Strong team player and interpersonal skills – ability to build and maintain good working relationships
- Excellent planning, organisational and time management skills
- Outstanding written and verbal communication
