Maintenance Helpdesk Administrator
Purpose of Role
The Maintenance Helpdesk Administrator plays a crucial role in coordinating and managing maintenance requests and activities within the company. They are responsible for handling incoming maintenance requests, scheduling repairs and inspections, and ensuring timely resolution of issues. The Maintenance Helpdesk Administrator serves as the primary point of contact for employees reporting maintenance problems and assists in maintaining the company's overall operational efficiency.
Key Responsibilities
- Receiving and logging maintenance requests: Receive maintenance requests from employees through various channels such as phone calls, emails, or a ticketing system. Log all requests accurately and gather relevant details to initiate appropriate action.
- Prioritizing and categorizing requests: Assess the urgency and severity of maintenance requests and categorize them based on their nature (e.g., electrical, plumbing, and equipment repairs). Prioritize requests based on the impact on operations, safety, or customer satisfaction.
- Assign maintenance tasks to the appropriate technicians or external service providers based on their expertise and availability. Schedule repairs, inspections, or routine maintenance activities to minimize disruption to operations.
- Monitoring progress and updating stakeholders: Track the progress of maintenance requests and ensure timely updates are provided to the requester or relevant stakeholders. Communicate any delays, changes, or additional requirements to keep all parties informed.
- Collaborate with maintenance teams or other stakeholders to develop strategies for preventing future problems and improving maintenance processes.
- Providing exceptional customer service. Respond promptly, professionally, and courteously to inquiries, concerns, or complaints.
- Ensuring compliance and safety: Adhere to relevant safety regulations, maintenance standards, and company policies. Collaborate with safety officers or compliance teams to ensure all maintenance activities meet legal and regulatory requirements.
