Responsibilities
How you'll spend your time....
- Arranging external and internal meetings (including arranging video or conference calls, preparing relevant paperwork/presentations, booking rooms, lunches, etc.)
- Making travel arrangements for overseas business trips (including itineraries, documentation, currency), organising department/team events
- Handling post, arranging couriers and photocopying
- Maintaining departmental documents and organisational charts.
- Administering and supporting the maintenance of legal records in the electronic document management system utilised by the Legal team (NetDocuments).
- Facilitating and arranging document execution and contract approval including leading on the administration of the electronic contract approval process (eCap).
- Training new joiners on the contract approval process and the document management system
- Expense processing
- Processing invoices and recording accruals
- Provide cover for colleagues during absences and/or busy periods.
- Maintaining department records including absence records
- Effective engagement and liaison with colleagues in the GCO and the wider business
- Producing professional presentations and documents on the usual suite of Microsoft Office applications
- Assisting on relevant projects as needs be for example, roll-out of document management and contract approval processes, across all legal team based in London
- Arranging annual renewal of Solicitor practising certificates for the team
- Arranging annual renewals of legal tools and subscriptions (such as Practical Law)
- Supporting the agenda and administrative requirements for periodic team meetings .

Required Qualifications
To be successful in this role you will have....
- Excellent communication skills and ambassadorial engagement with colleagues, stakeholders, suppliers and clients
- A proactive, client focused approach and can-do attitude
- Proven track record of effective teamwork
- Advanced Microsoft Office Word, Excel, Powerpoint and Outlook skills
- Knowledge of document management systems would be ideal
- Strong administration, organisational and time management skills
- Motivated and capable of acting on own initiative
- Experience of administration in a legal and/or compliance environment in the financial services sector would be beneficial
