An exciting opportunity for a Part Time Receptionist (3 days p.week, ideally able to commit to working Mondays) has arisen in our busy Petworth office, Glanvilles Anderson Rowntree. Flexible start date.
The successful candidate will be a great team player but must also be able to work on their own initiative. You’ll be a confident receptionist who will be communicating both over the phone and in person. You will have a desire to provide a welcoming and professional client service to any visitors and clients over the telephone and in person. Previous reception experience within a professional industry is not essential however is desirable. We are looking for a confident individual who will be able to communicate at all levels.
Overall job purpose: The prime tasks are; Reception attendance and front of house duties, and assisting with general office administration for all legal departments.
Day-to-day duties will include:
· Reception (first point of contact).
· Delivering excellent customer service to staff and clients.
· Answering the telephone, and meeting and greeting clients and visitors and recording the data into Microsoft Excel spreadsheets.
· Ensuring meeting rooms are set up, booked and kept tidy within Outlook Diary system.
· Providing refreshments as directed, including checking of stock levels and ordering water bottles and coffee machine items.
· Composing and responding to e-mails.
· Assistance and monitoring with opening and distributing post.
· Providing weekly bank cover as required.
· Using IT software to include but not limited to; in-house case management systems, Microsoft package, archiving and retrievals through 3rd party, stationery requests through 3rd party and arranging collections of the office confidential waste through 3rd party.
· Administration support to all teams.
· Monitoring the office petty cash as required.
· Assisting all teams with general ad-hoc tasks such as certifying ID, data entry, accepting documents from clients, scanning and photocopying etc.
· Assisting with office H&S with the HR Manager, including monthly H&S checks and fire warden duties.
· Working on adhoc projects as directed by the office partner and/or HR Manager.
Skills Required
· Be polite and professional with a good vocabulary (both written and spoken)
· Confident in dealing with people of all levels

· Accuracy and speed when entering data into the system
· Flexibility with occasional cover for reception team absences
· Be familiar with Microsoft Office and willing to learn the use of other programmes
