The Company:
We are looking for an experienced legal assistant. Reporting to the Director, you’ll be supporting the solicitors on a day-to-day basis with administrative tasks as well as liaising directly with clients.
The Candidate:
The ideal candidate will be flexible and adaptable, they will be reliable and hardworking, remaining calm under pressure and must have the ability to work to tight deadlines. Being a self-starter who is extremely organised with the ability to juggle priorities and work on their own initiative, recognising the need for absolute confidentiality and professionalism is essential.
Key Responsibilities:
- Diary management for solicitors including arranging meetings and appointments, ensuring the diary is up to date and holds all the necessary information
- Answering solicitors telephone calls, taking accurate messages and passing them on promptly, answering any non-legal queries where possible
- Liaising with clients to schedule and collect the required details for appointments
- Maintaining a database that keeps track of client progress
- Preparing and posting paperwork to clients and our other offices
- Drafting short letters, memos or notes (non-legal content) in a literate and professional manner
- Scanning the post and posting to client matters
- Opening client files, including completing conflict searches and money laundering checks
- Preparation of client engagement letters, collating all the relevant information required and maintaining client files on a day to day basis
- Assisting solicitors with the billing process, agreeing in advance dates for billing, delegating requisition of pre-bills, drafting narratives and covering letters and putting paperwork in front of solicitors for sign off
- Social media management including designing and scheduling posts across all of our platforms
