Job Description
Part-Time Legal Assistant/Receptionist (Starting at 12 hours p/w)
Monday, Tuesday and Friday
1. Purpose of Job
To provide reception and administrative support to the firm. Assisting Principal solicitor and paralegals with the completion of tasks.
2. Tasks, Duties and Responsibilities
Reception
The postholder will be required to
- Welcome clients and visitors upon arrival at reception
- Answer telephone enquiries providing callers information about areas of work covered by the firm
- Make appropriate referrals to other agencies in accordance with our policies and procedures
- Take clear messages
- Maintain a record of all enquiries and referrals
- Handle incoming and outgoing post including opening and date stamping the post every morning
- Ensure that the reception area is tidy and welcoming
File maintenance
The postholder will
- Copy documents and obtain relevant forms to ensure all files are properly maintained
- Ensure all files are up to date
Office Administration
The postholder will cover:
- Archiving files in accordance with procedures
- Maintaining archive and storage records
- Ordering and maintaining stationery and office supplies
Contact with clients and 3rdparties
The postholder will be required to contact clients and other agencies, as requested by the caseworker. Examples may include:
- Telephoning a client to obtain information and/or arrange an appointment;
- Contacting an agency to book an interpreter;
- Contact another service provider to confirm arrangements for a client.
- Chasing 3rdparties for updates on cases, as and when needed.
Preparation of documents
The post holder may be required to:
- Prepare accurate bundles of documents and copy files when required by caseworkers.
- Assisting with copying, scanning, faxing, emailing, note-taking.
General
The post holder will participate in the general running of the firm, including:
- Attending staff/team meetings, training and other meetings when required.

3. Responsibility
The postholder is accountable to the Manager, who has overall responsibility for the running of the firm.
4. Level of contact
The postholder will have regular contact with clients at reception, visitors, caseworkers and all staff, volunteers and interns, the manager, outside agencies, suppliers of equipment, goods and services to the firm.
Job Type: Part-time
Part-time hours: 12 per week
Salary: £10.42 per hour
Ability to commute/relocate:
- London, W9 3AZ: reliably commute or plan to relocate before starting work (required)
Education:
- A-Level or equivalent (preferred)
