Job description
We are looking for a full-time Legal Assistant for our downtown Vancouver office. Our office is in the historic Sun Tower in the “Crosstown” area of downtown Vancouver, with a view of Vancouver Harbour, False Creek and the North Shore Mountains. We are located in an area known for culture, sports, restaurants and boutique shopping, on the same block as the Stadium skytrain station and on several bus and cycling routes.
This is a full-time, in-office position for someone who enjoys being the first point of contact for our guests. You are friendly, organized, service focused, comfortable with technology, and who enjoys multi-tasking and having a variety of responsibilities.
Position Requirements:
- 1-5 years of experience; professional services or office environment preferred
DUTIES/RESPONSIBILITIES
Assisting the Partners
- Prepare documents and presentations, including PowerPoint documents
- Book travel
- Book appointments and meetings
- Assist with service administration
- Enter timesheets
- Draft year end audit letters
- Organize interviews and invitations for new Articling Students
- Setup meetings
Legal Assistance
- Assist lawyers and students with files as needed
- Provide legal assistant services in the areas of litigation, real property and corporate/commercial to our lawyers
- Draft and send correspondence/documents
- Prepare affidavits and exhibits
- Prepare petition and application records, books of authorities, appeal records and appeal books
- Deal with Registry filing and document services
- Format of materials
- Perform legal searches (e.g. registry, land title, corporate, etc.)
- Assist with files as needed
- Prepare materials for administrative tribunals
- Prepare litigation disbursement records for client billing
- Update the firm calendar for lawyers’ appointments, meetings, etc. including travel time for meetings out of the office
- Book travel for lawyers
Back-Up Coverage for Administrative Staff
- Update the firm calendar for lawyers’ appointments, meetings, etc. including travel time for meetings out of the office
- Reception and switchboard duties, filing, clerical tasks, cleaning up
- Mail and courier – receiving and sending
- Perform legal searches (e.g land title, corporate, etc.)
- Register, pay and coordinate lawyers’ professional development courses
- Sign up lawyers for continuing education
- Make payments over the phone
General
- Assist Office Manager when required
- Help to coordinate computer/peripheral set up, maintenance, and expansion/upgrade issues, including server backup
- Administer operations of printers
- Onboard new staff – office tour, initial Worldox and Soluno training
- Other

- Previous experience with Worldox and Soluno or similar software would be an asset
