Your role and responsibilities*
An exciting opportunity has arisen to join our team at our Village Vet Winchmore Hill team as the Lead Client Care Assistant. You will be based in Winchmore Hill covering reception when required and will support the London regions client care teams. You will be responsible for ensuring both our clients and patients receive a professional five-star service throughout their time with us. This role is fast-paced, high pressured but fun, with no working day the same. We pride ourselves on providing the best standard of care to both our long standing and new clients, always ensuring we are personal, professional, and empathetic.
Our front of house teams are the face and voice of our business therefore this role is extremely valued within the hospital team. The candidate needs to be confident, committed, and able to work well under pressure with exceptional organisational skills. Previous experience in team leadership within a front of house/customer facing position is vital. Additional experience in the Veterinary or Healthcare sector with a minimum of 3 years’ experience is desired.

Taking lead of our client care team to provide the best service for our clients
- Organising the daily workload of administration staff
- Responsible for managing all staffing issues within the reception area including rotas, holiday cover, in house training, professional development, performance management and day to day feedback on performance across 6 London based practices.
- Dealing with departmental issues quickly and efficiently
- Liaising with clients and the clinical team to ensure effective customer service
- Completing various administration duties for the clinical team and the business
- Promoting our fantastic Healthcare Plan
- Meeting and greeting clients with an effortless smile
- Booking appointments & diary management
- Managing telephone and email enquiries
- Taking payment for services and products
- Financial tasks to include weekly cash up, debt processing, petty cash
- Managing cash, waiting area stock and client accounts
- Rota management across London region
- Opening and closing the practice
- Dealing with first level complaints and liaising with team members to resolve
