What is Proxy Voting? Shareholders are invited by public companies that they hold shares in, to vote on a wide range of topics during general meetings. They can delegate their voting power to a representative, who will then be considered a proxy. Here at ISS and within the GPD business, we provide a full end-to end solution to manage the process of distributing meeting materials, collecting and lodging clients' vote instructions with issuers or issuer agents and providing vote confirmations back to clients.
POSITION OVERVIEW:
The Proxy Voting Operations Analyst is responsible for supporting the end-to-end proxy voting chain for global custodian banks and institutional investors. As a part of the Global Proxy Distribution team, you will be responsible for generation and distribution of voting records called ballots, transmission of vote instructions received from clients through the chain of intermediaries, management of queries and special meetings, meeting alerts and establishment and maintenance of strong working relations with our network of local custodian banks / registries.
You will have the opportunity to interact with a wide range of participants in the proxy voting chain including institutional investor clients, global and local custody banks, market registrars, CSDs, issuer agents and issuers. You would also gain working knowledge of SWIFT standards- ISO 15022 & 20022 (MT & MX) that are widely used in the world of corporate actions.

RESPONSIBLITIES:
- Process vote instructions from clients of GPD banks through to the registries or local market custodian banks in the agreed method and format.
- Complete any additional paperwork needed to support a vote instruction such as proxy cards, power of attorney, etc.
- Proactively monitor proof of delivery receipts for vote instructions sent via courier / email / fax
- Respond to incoming client inquiries promptly and in accordance with procedures.
- Coordinate with registries/local custodians regarding rejected vote instructions, as well as, requirements to lodge vote instructions for meetings with special instructions.
- Maintain registrar and sub-custodian contact information, SWIFT addresses, instruction delivery preferences and formats.
- Accomplish daily workload through internal proprietary applications such as GPD Manager, SWIFTMaster, ProxyExchange as well as external platforms such as CREST / SWIFT.
- Liaise with high profile GPD clients for bespoke and sensitive processes in relation to International bondholder events.
- Manage workflows entrusted to his / her work shift and provide support and coverage as needed
- Review regular automated or ad-hoc reports which serve as audit controls.
- Assist in maintaining audit reports and responding to ad-hoc audit related queries.
- Identify and recommend improvements and / or solutions where appropriate.
- Perform other duties as assigned.
DESIRED COMPETENCIES AND QUALIFICATIONS:
- College degree or its equivalent course of study
- Excellent oral and written communication skills
- Proficiency in Microsoft Office (Outlook, Word, Powerpoint)
- Intermediate/Advanced excel skills (formulae, data filters, data sorting, vlookups, pivot tables, data validations, shortcut keys)
- Knowledge of SQL, imacros, basic python beneficial
- Demonstrated analytical and workflow management skills
- Strong organizational skills and ability to prioritize and accomplish multiple tasks
- Proactive and have a sense of urgency
- Strong attention to detail
- Team player
WORKING CONDITIONS:
- Flexible to assume the working hours as required by the business, especially during proxy season where volumes peak, as well as providing coverage as necessary on UK Bank Holidays.
