POSITION SUMMARY:
We are seeking a knowledgeable facilities coordinator to ensure an optimal working environment in our building. In this role, you will be responsible for performing regular building safety and security inspections, maintaining our building's equipment, and supervising cleaning crews.
To ensure success, facilities coordinators should exhibit extensive experience in facility maintenance and the ability to liaise with contractors. A top-notch facilities coordinator should be a maintenance expert who promotes an efficient and safe environment.
ESSENTIAL FUNCTIONS:
Onsite role (Office based in Fitzrovia) - 24 hrs / week
Liaise and build relationships with Suppliers
Maintain and manage stock of office supply including the kitchen supplies
Act as a client Ambassador - ensuring client requirements are met and their needs are anticipated at all times.
Operate to the highest possible standards in relation to H&S compliance at all times
Ensure that emergency procedures are adhered to on site and should an emergency occur the individual will take an active part in the evacuation
Maintain noticeboards to ensure that they remain relevant and up-to-date.
Provision of support around room & resource booking, visitor management and the Helpdesk systems.
Ensuring all legal health and safety requirements concerning the building are met, including the individual health and safety of employees in their workspaces.
Support the delivery of key events
Testing building security systems and promoting safety within the building.
Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies, and climate control.
Supervising cleaning crews and maintenance workers.
Arranging for systems, such as heating and air conditioning, to be looked after and operated appropriately.
Documenting processes and keeping maintenance records.
Monitoring maintenance budget spending.
Responsible for IT assets tracking in the office & sourcing new equipment.
Can prepare and set up computers for new hires.
Point of contact for IT service providers.
Collect IT assets from offboarded employees and update the asset sheet accordingly.
Ensure all IT systems are functioning in the office including but not limited to Internet connection, wifi network, video conferencing systems…etc.
REQUIRED EXPERIENCE, EDUCATION & SKILLS:
Bachelor's or associate degree in project management, or similar.
A completed course in facilities management will be advantageous.
A minimum of 2 years of experience in facility coordination, project management, or real estate.
Experience in building and equipment maintenance.
Ability to respond to building and equipment emergencies.
In-depth knowledge of building safety regulations and security protocols.
Proficiency in office software
Excellent organizational and communication skills
