We are currently recruiting for a Reception Assistant to join a professional Top 200 Law Firm based in Blackburn. This role will involve providing excellent customer service mainly on a switchboard, dealing with a high number of calls, along with providing an administration support function within the office. It is essential for this role that you are passionate to provide first class customer service. The ideal person will have previous experience within a receptionist / switchboard / administrative role, however other experience can be considered. This role is permanent working Monday to Friday 8.30AM – 5.00PM and paying an annual salary of between £19,000 – £20,000 per annum dependant on experience.
What will you be doing as a Reception Assistant?
- Dealing with a high volume of calls using a switchboard
- Ensure that all calls are answered in a timely, polite, and professional manner in line with customer service guidelines.
- Transferring calls to the appropriate colleague/department
- Manage and maintain customer complaints/issues log arising out of any calls taken
- Updating details on the company’s computer system
- Ensure that all visitors are welcomed into the Company and have received excellent customer service
- Booking clients in and contact the relevant colleague in a timely manner.
- Manage and maintain the room booking system
- Facilitate room preparation, including: the provision of refreshments and IT set up for company meetings, training interventions, recruitment assessment days, in order to promote excellence and enhance the customer journey for both external and internal customers.
- Ordering of stationery and conducting stock checks
- Coordinating a high volume of incoming and outgoing post.
- Handle confidential legal information with the required sensitivity and confidentiality
- Collating information using a range of resources including scanning, photocopying and faxing
- Assisting the Reception Manager where needed
We would LOVE to hear from you if you have the following skills and experience:
- Ideally previous experience within a receptionist / switchboard / administrative role, however other experience can be considered
- Passionate to provide excellent customer service
- Strong organisational skills with a high attention to detail
- Excellent interpersonal skills with a willingness to help
- Must have good computer skills with knowledge of the Office Suite (Word, Excel, Outlook)
- It would be an advantage if you are familiar with scanning facilities and using a franking machine
- GCSE Maths and English grade C or above or equivalent
