International Coordinator and EA to CEO (Initial 6-month contract – remote working)

This calls for a new role, International Coordinator and EA to the CEO.
The ideal candidate will be a bright, relationship-focused, bi-lingual professional who has experience working in fast-moving, multi-national organizations, simultaneously managing a diverse range of international operational activities and projects. You will have ambition to develop yourself and the role.
Working remotely and with some face-to-face interaction, you will be structured and agile, with an entrepreneurial mindset to provide what is needed to support the CEO and AC’s strategic objectives. You will be a key member of our team, providing a bridge to the needs of our International Leadership Teams.

The Role
We are looking for a proactive, experienced, and resourceful International Coordinator, to provide EA support to the CEO, working closely with her and other members of the AC In ternational and Central teams. This multi-faceted role will support the communications, people, and operational activities underpinning the international growth and development plan for the Association for Coaching.
The role responsibilities will cover the following:
Key Activities
- Experience of working successfully in a virtual setting. A self-starter with capacity to work alone and is self-directed. As this is a virtual role and there will be regular telephone, Skype and Zoom team meetings across international time zones.
- Proven project management skills, excellent project planning skills ensuring initiatives and tasks are tracked and monitored consistently, in a timely manner. This includes prioritization and reminders of activities for the CEO.
- Personable and relates well with others. Enjoys and is skilled at maintaining effective professional relations with a wide number of diverse individuals and teams. Open, responsive, and has the ability to adopt, flex, and be creative with solutions-based approach.
- Excellent interpersonal and communication skills, must be able to tune in and communicate effectively with International Team members’ different forms of expression and accents. Provide a timely response to their queries and requests.
- Excellent written communication skills, including copywriting and being able to communicate in a professional and friendly manner through internal comms, marketing campaigns and drafting/writing up summary notes and emails.
- Possess excellent organization skills, with a strong ability to independently man- age and prioritize delegated assignments. Sees themselves as part of a team, seeks and accepts direction, asks questions, offer suggestions and doesn’t mind doing whatever it takes.
- Maintain database tracking and monitoring activities and draws CEO attention to key activities and requirements. File management (using Dropbox etc.) ensuring files are stored with appropriate version control and follow good document management principles.
- Diary management skills, arranging calls, meetings, and interviews across international time zones.
Person Specification
- Experienced in managing a varied workload and working with numerous stakeholders, and executing multiple plans.
- Building strong relationships throughout the organization and with key stakeholders.
- Marketing skills, in particular, copywriting with strong written and verbal communication skills.
- Ability to plan and prioritize own workload and that of the CEO.
- Bi-ingual in English and ideally 1 + language (French/Spanish/ Portuguese/German/Mandarin/Arabic)
- Extensive proven experience in a similar Executive Assistant Role (5 years minimum)
- Proficient in MS Office or related applications
- Familiarity with current technologies, like desktop sharing, cloud Desirable services, and VoIP.
- Able to maintain confidentiality and use discretion where appropriate
Personal qualities
- Being member-centric and solution-focused, with strong attention to detail
- Being responsive and proactive in communicating with team members internationally and working collaboratively.
- Thrive under pressure with the ability to prioritize and adapt to change
- Previous experience working in large multi-national companies in a similar/Executive Assistant capacity.
Rate and Hours
We are seeking a self-employed candidate available to work up to 90 hours per month, (ideally delivered daily Monday to Friday and flexibility across international time zones) at a rate of £20 per hour for an initial 6-month contract. Following a successful 6-month period and review, the contract could be extended.
