Salary: up to £29,000 depending on skills, knowledge and experience
Main Location: Stratford/Hybrid
The Information, System and Insight team form part of the Elizabeth Line's operational delivery organisation and are responsible for owning, implementing and improving the Elizabeth Line Information Strategy. The strategy includes information systems, processes and reporting which enable the Elizabeth Line to utilise information to understand performance, prioritise effort and deliver value.
The Information, Systems and Insight Assistant will coordinate, prioritise, and manage systems access and permissions across a range of technologies. The role will support all members of the team in fulfilling and completing access to systems, owning permissions, and implementing access management whilst providing support to users. They will collate feedback and items for improvement across systems.
Key Accountabilities:
Efficiently manage access and licensing to Elizabeth Line information systems to ensure access is available to those who need it.
Manage the process to provide appropriate access to information for starters, movers and leavers, including 3rd parties to provide the right tools and access required. This includes supporting users raise requests .
Help maintain reference data about our systems and permissions, such as master lists that is required to ensure appropriate access, and up-to-date content between systems. This will include owning the process for updating data in other systems manged by others
Documenting and issuing our processes and standards and helping communicate these to users by creating clear and engaging materials, tailored to the knowledge and skills of different users
Create and maintain a library of guides, links and relevant documentation to assist new system users to facilitate system access.
Supporting and prioritising requests into the team from a range of users across systems to ensure resource is allocated to the most important tasks
Create and produce reports on access, licensing and usage of our systems and communicating key information and trends to managers to ensure compliance and adherence to information management best practice.
Advise on business planning activities to ensure sufficient licensing to meet the needs of users in a cost-efficient manner.
Skills:
Good planning and organisation skills, in order to be able to manage user access to multiple information systems and manage requests and data.
Good communication skills, in order to liaise with different user groups and key interfaces to effectively enable appropriate access where required and raise issues around software and user licenses.
Developing documentation to meet a range of audiences or needs, including plans, guides, processes, presentations and management papers
The ability to pro-actively engage with colleagues and identify and resolve issues to ensure access is provided in a timely manner and reflects the priority and impact of the business areas.
Attention to detail to ensure accuracy of work and that access rights are assessed in line with our standards and processes.
Knowledge:
Good understanding of Information Management systems including SharePoint and how and why access permissions are controlled, and methods for such control.
Working knowledge of legislation relevant to handling personal information – e.g. Data Protection Act, Freedom of Information Act is desirable.
Strong knowledge of good practice for creating documents, guides, training and other communication material, that are designed for a range of learning styles and users
Awareness of the importance of standards, processes and assurance for managing our information and data and demonstrable knowledge of they key principles of relevant standards.
Experience:
Demonstrable experience of working collaboratively with multiple stakeholders to efficiently prioritise and manage tasks.
Past experience in a similar role managing systems access or information management would be desirable
Good experience of communicating processes, standards and ways of working to users through a range of methods
Experience of demonstrating proactive mindset to seek and resolve issues in previous roles or professional settings.
Experience in supporting a number of teams and users with a range of requests, acting as the first point of contact
