Job description

The main responsibility of this position is to provide support to the PACS manager in managing the import and export of radiographic images.

As a tertiary referral centre for specialist orthopaedic procedures and for orthopaedic oncology the department imports approximately 40,000 radiographic studies each yearfrom other hospitals, both within the UK and abroad, to the local PACS store,in order toprevent unnecessary repeat of imaging procedures and to improve care of patients.

It is necessary toascertain appropriate studies to keep, establish urgency and prioritise the order in which to manage each study.

The images that are then sent to PACS must have a database entry created within the Radiology Information System (CRIS) and the images manipulated into the correct folder within PACS.

This isa very busypost, andrequires the post holder to maintain high levels of concentration for significant periodsin order toensure accurate data entry.

To work in accordance with departmental and national policies to:

  • Be responsible for the import and export of PACS Images
  • Import images from IEP
  • Import images from CD
  • Export images Via IEP
  • Export images to CD for Medico legal, patient access, research and governance purposes
  • Identify imported studies and create appropriate entries on the radiology information system for radiological examinations of images to be saved to PACS
  • Accurately manage “unspecified images” in PACS using PACS administrative tools
  • Identify relevant studies to transfer, both inbound and outbound, according to the speciality of the recipient clinician in accordance with legitimate relationship regulations. Identify which studies are appropriate to save to PACS/Transfer to other hospital
  • Provide support to staff ROH and other health service providers in transferring images in a timely manner and therefore facilitate effective care of patients
  • Be aware of and apply data sharing agreements and information governance protocols
  • Use own judgement to prioritise tasks according to the needs of the service
  • Make decisions demonstrating specialist knowledge to support the production of high quality PACS and RIS data
  • Provide support to the PACS manager as directed
Duties and Responsibilities - Details:
Importing Images

Monitor NHS emails inbox for images that have been delivered to the PACS workstation via IEP, ascertain which images are required by reviewing request on IEP, and prioritise management of the studies.

Upload images from CD to PACS workstation.

Send relevant images to PACS.

Identify the examinations in order create a RIS entry and then match up the imaging to the RIS entry in the appropriate PACS application. As such it would be advantageous for the candidate to have extensive knowledge of radiographic procedures, anatomy and clinical specialities.

Completion of RIS data entries.

Exporting Images

Monitor IEP for outbound requests and transfers.

Ensure that there are sufficient details within the transfer to establish a legitimate relationship in compliance with data sharing principles.

Identify appropriate imaging to upload from PACS and subsequently transfer to IEP according to speciality of receiving clinicians.

It may also be necessary to export images using CDs in circumstances where the recipient does not have access to PACS, including for trial purpose, for patient access and for solicitors/medico legal requests. The post holder will ensure CDs are only produced when warranted, and that necessary authority and, if appropriate, funding has been obtained.

General PACS Duties
  • Be familiar with and apply National Legislation and local policies on secure transfer of data
  • Create image transfers and requests when directed by the PACS manager
  • Maintain local records of image transfers, both electronically and via CD
  • Manage PACS accounts for staff that have a legitimate right to view images/reports
  • Communication with, for example, MDT co-ordinators, medical secretaries, appointments clerks on progress of image transfers or difficulties in acquiring images
  • Maintain the data integrity of the PACS database by monitoring and correcting unspecified images, This requires and understanding of radiographic procedures in order to match images to correct folders
  • Collection and delivery of CDs
General

  • Comply and encourage others to observe all Trust policies and procedures including Data Protection
  • To report any accident, injury or critical incident occurring in the department and ensure it is appropriately recorded in line with Trust Procedure
  • To maintain, and ensure others maintain, a safe, clean and tidy working environment.
  • To be aware of the implications of the Health and Safety at Work Act, IR(ME)R Regulations and ensure the guidelines are followed
  • To participate in the Trust’s performance appraisal process and to undertake any identified training and development related to the post
