General description of role:
To strengthen and support the HR department and HR Business Partner through providing an accurate, efficient and effective administration process and service associated with the needs of the department and advise on company policy and procedures to line managers . The role will also s upport the execution of the ‘fit for purpose’ HR and training strategy to achieve the business objectives.
Key responsibilities of the role:
Administration
- Manage and coordinate all administration tasks within the department such as induction, recruitment and selection, new starters, leavers, employment changes, absence related documentation, training workshops and record keeping, performance reviews, appraisals, probation reviews, pay awards, service awards, recognition awards, daily post, communication boards, occupational health, temporary agency staff, maintaining up to date and accurate employee e-files records, minutes of meetings. This list is not exhaustive.
- Maintain and utilise the HR database system timely and accurate input
- Manage the absence notification and Bradford factor administration process to ensure accurate absence information is available
- Co-ordinate the administration of the company induction for new starters ensuring it is executed to a very high standard and that all associated documentation is completed prior to employment commencement, including induction pack.
Learning & Development
- Act as a first point of contact for training queries.
- Process approved requests for training and ensure all necessary administration is in place.
- Manage changes to the training arrangements, ensuring both course providers and trainees are updated of any changes.
- To monitor and record training documentation for all employees at the site via management of the relevant training matrices and update hard copy training files to ensure audit ready status
- Ensure accurate recording of training registers, certificates and results of any tests/authorizations.
- Maintain training records for all employees including agency staff (where required) and ensure all completed training (with the supporting paperwork) is recorded on the Training Database and added to the individuals training folder in a timely manner.
- Monitor and review training course objectives and post course evaluation.
- Using the reporting tools within the Training Database, assist department/line managers to identify training gaps within their areas, and help schedule training through the designated trainer.
- Work with department/line managers to develop and maintain Job Profiles within the Training Database, ensuring that training requirements are relevant and in line with agreed standards.
- Support the creation of an annual training plan to the site management team with prioritized training to meet legal and business requirements.
- Monitor training KPIs and make recommendations to management/HRBP where action is required.
- Support the development of front line management capability to deliver effective core people skills, such as recruitment, induction, performance management, communication
- Support succession planning activities and development activities in conjunction with department managers
Resourcing
- Lead and co-ordinate the recruitment and selection process for operative/supervisor level roles
- Support with ensuring offer paperwork is returned from new starters and employee files are compliant, utilising the new starter documentation process.
- Participate in the selection of new recruits if required and as appropriate.
- Assist with any agency worker queries relating to the Factory.
Employee Relations and Attendance Management
- Work closely with line managers providing them with guidance, coaching and support on the full range of HR activities (including policies and procedures, terms and conditions of employment, absence management, performance management, etc.), in order to ensure a consistent and fair approach to people management.
- Keep up to date with legal developments and advise management on compliance and risk factors.
- Support and manage investigations, disciplinary and grievance matters in conjunction with the relevant line manager.
- Ensure that managers and staff are aware of the policies and procedures and able to operate them effectively.
- Support organisational change processes including collective and individual consultation and all associated documentation
- Support line managers to ensure employees are managed in line with the absence procedure, escalating complex cases to the HRBP.
- Support and co-ordinate health & wellbeing and CSR initiatives on site and within the local community.
Other
- To implement key projects and objectives within specific time frames in line with department objectives and the HR plan
- Conduct exit interviews for all employees within the assigned area and provide feedback where necessary.
- Utilise the information held on the HR database and HR files and ensure it is updated in a timely and accurate manner and complies with any legal or data protection policies.
