Position Overview:
As a Project Coordinator you will be working within the UK based ePS Tharstern Customer Success Team, which is a dynamic, innovative, and fast-paced software sales, implementation, and support team. ePS Tharstern software is a robust, future-ready business software solution within the ePS portfolio of solutions used by hundreds of print and packaging manufacturing businesses across the world, with the main customer bases in the UK and North America.
Reporting to the Customer Success Manager, the Project Coordinator (PC) plays a critical role in ensuring a smooth implementation and happy customer. It is a remote based role and is ultimately responsible for liaising with a customer post-sale for the scheduling of project service deliverables from our software implementation team and ensuring billable time is managed appropriately. You will assess each sales order to understand the type of project required, assign the relevant internal resource, and make the related diary bookings - confirming with both internal and customer resources.
You will closely support the project delivery team in making sure project tasks and general projects statuses are logged within the project management software and administer the logging and billing of time allocated to projects for billable purposes.
You will also closely support the Chief Revenue Officer (CRO) and Customer Happiness Manager (CHO) in ensuring utilization KPI’s are met and administer internal reporting to the required stakeholders..
Position Description:
- Schedule both internal and customer resource for installation and Project Kick Off meetings (PKO’s)
- Set up appropriate project plans for project teams to take on and fully own
- Chase up project status updates from the implementation team
- Administer timesheet entry system (Clockify) used to log time from the implementation team for customer billing and non-billable time assessment.
- Own and manage inbound customer questions related to projects and escalate internally as required.
- Update and maintain all internal performance related reports.
Position Requirements
- Previous experience of project coordinator / project management / facilities management roles is an advantage.
- Strong attention to detail, stellar communication skills, and the ability to distill data into the appropriate reporting format for each stakeholder- both internally and externally.
- Confident in working with project management software, previous experience of Asana and Clockify is a distinct advantage but not essential.
- Confident in working with Microsoft Office products especially Word and Excel.
- Ability to manage workload and prioritize effectively.
