THE OPPORTUNITY
We have an exciting opportunity for a team administrator to join our growing team to take ownership of outlined specific administration tasks supporting the wider business. You will contribute to the delivery of first-class experience to all employees, supporting on multiple projects simultaneously in a seamless fashion. You will work closely with the wider HR & Talent team and support on the day-to-day HR and Office administration responsibilities as the business continues to scale up at pace. This role would be perfect for process orientated; people driven individual with a strong eye for detail. This is an office based role based in our Embankment office 5 days per week.
A TASTE OF THE DAY TO DAY
- Work with the HR Assistant to ensure BambooHR is up to date- inclusive of adding new employees, removing leavers, updating data fields, producing reports and general system maintenance
- Confirm laptop and mobile phone requirements for new employees and assist with setting up the equipment ahead of their first day.
- Purchase work from home equipment for employees and update asset records on BambooHR
- Assist with the onboarding processes to ensure employee information and documentation is obtained and stored correctly
- Update employee contracts with confirmed hire dates and ensure signed contracts are obtained and stored correctly
- Assist with issuing general HR letters via the BambooHR system
- Enrol employees on mandatory training inclusive of H&S & DSE. Monitor system for any follow-up actions from DSE assessments.
- Member of the events team, assisting with organising company events
- Order Business cards in line with employee needs
- Assist office manager with ordering company phone contracts and handling queries relating to company phones.
- IT admin – Create new starter email accounts and close down leavers IT account
- Support the office manager with day to day administration tasks in the London Office – including answering calls, opening post, organising couriers, opening deliveries, assigning lockers and access fobs along with keeping the office clean and tidy.
- Support the office manager with greeting visitors and organising meeting rooms – including offering refreshments and ensuring video conference equipment is set up
- First Aider and Fire Marshall designated trained employee
A BIT ABOUT YOU
- You should ideally have some experience as an Administrator/ Assistant in a fast-paced office environment – Start up or scale up business experience is desirable. We will also consider entry level candidates who are driven to learn.
- HRIS System experience is desirable but not essential
- Literate and confident in MS suite
- You will have a high level of attention to detail and be able to work to tight deadlines
- You should have experience as working as a true team player, showing willingness to think outside the box to get ‘the job done’.
- This role requires a proactive and forward-thinking attitude, and someone who is able to communicate in a professional manner whilst building key relationships within the business
