Immediate Supervisor: Director of Employee Relations

JOB OVERVIEW
Provides assistance and guidance to managers and staff regarding routine matters in the Human Resources System, including employee relations, recruitment, benefits, leaves of absence, payroll and all other Human Resources processes and activities. Provides assistance and support to the Director of Employee Relations in employee relations matters, as well as other members of the Human Resources leadership team in other Human Resources functions as designated. Assesses and assists all customers with their needs and makes referral(s) to other members of the Human Resources team or other departments or systems when appropriate. Collaborates and communicates effectively and timely with all Human Resources leadership and staff in order to ensure consistency of facility-wide policy, procedures and processes. Must be competent in knowing, understanding, and explaining Human Resources System policies and procedures, payroll practices, recruitment practices, benefit offerings, leave procedures, performance review processes, attendance guidelines and employee discipline. Assists with office coverage and other assignments to support HR office operations and customers, including assistance with onboarding and orientation of new personnel, new hire paperwork, producing name badges, and other front desk coverage duties. Must model effective communication and leadership and demonstrate Madonna core values and culture. Must demonstrate sound critical thinking and decision-making skills on matters of significance. Must motivate and retain existing talent by identifying and responding to human resource issues as they arise. Must serve in a role as a partner with leaders and staff to meet the needs of the organization and achieve facility goals. Maintains high level of confidentiality of all records, employee data, and all facility information and practices. Attendance is an essential function of this position. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility.
ESSENTIAL FUNCTIONS
(INFORMATION)
- Produces facility discipline and termination correspondence for common occurrences, including attendance, using templates or drafting original documentation. Coordinates employee relations correspondence and discipline documents for manager review and signature.
- Prepares and proofreads reports, gathering information from various individuals as needed, ensuring accuracy, timeliness and visual quality of reports.
- Reviews status change forms submitted by managers and benefits and leave paperwork submitted by employees to ensure documents are filled out accurately and completely before sending to appropriate member of Human Resources staff.
- Answers routine questions regarding payroll, recruitment, benefits and leaves of absences.
- Assists with administration, analysis, and/or recordkeeping for recognition programs and retention initiatives and activities as assigned, which may include the Workplace of Choice committee, the Diversity, Equity and Inclusion committee and the HALO system, among others.
- Assists in analyzing recruitment, retention and turnover data/issues to identify problem areas for reducing turnover and retention of staff.
- Assists with development, distribution, and presentation of training materials for managers and staff related to human resources policies, procedures, programs and best practices.
- Participates in the Project Search Committee. Completes onboarding paperwork for interns, arranges committee meetings, publishes meeting agendas, takes meeting notes, and distributes meeting minutes. Serves as a back-up resource for Madonna specific questions related to Project Search. Assists Project Search teacher with scheduling and coordination of meeting rooms, activities and events
- Ensures documents, files, and information are in order for accrediting agencies and surveyors.
- Assists in composing, editing, producing and/or distributing correspondence, memos, forms and/or notices accurately and timely as necessary to support the Human Resources staff.
- May assist in creating, revising, and implementing assigned Human Resources policies and procedures for ensuring standardization and consistency.
- May assist with performance review updates, job description updates, and license renewal tracking and communications.
- May assist recruiters and others with job postings, job boards, internet postings, and coordination with Vocational Rehabilitation.
- Serves as back-up to HR Assistant - Omaha.
(PEOPLE)
- Collaborates effectively with others in order to meet the HR needs of Madonna consistent with facility objectives. Must consistently build and maintain positive working relationships with managers, staff and co-workers.
- Answers the office telephone, greets, and assists all Human Resources customers.
- Provides support and guidance to managers and staff on attendance policies and attendance-related issues and other employee relations matters, policies and procedures, including the job accommodation process.
- Assists Director of Employee Relations on employee relations matters as assigned, which may include assistance with investigation of complaints and employee-related issues using sound planning, organization, and excellent HR principles following Madonna policies and procedures.
- Counsels supervisors, managers, and staff on employee relations matters, complaints, and disciplinary issues consistent with Madonna policy, applicable laws and past precedent. Assists with appropriate conflict resolution consistent with applicable laws and facility guidelines.
- Assists employees with changes to employee and payroll information through Employee Self Service (ESS) software. Directs employees on information available through Workforce Hub and ESS and assists with directing managers and employees to applicable policies on payroll related questions.
- Takes instruction from supervisor to perform other tasks and duties as assigned to achieve Madonna and HR department goals.
- Regularly communicates and works with others to ensure information is clearly conveyed and disseminated in a manner that facilitates positive and excellent internal and external customer service.
- Participates on both internal and external committees and organizations to stay abreast of human resources trends and best practices.
- Mentors and assists in the orientation and training of new Human Resources staff as assigned to provide support and knowledge of system policies, processes and operational definitions.
QUALIFICATIONS
High school equivalency plus two years post high school education in human resources, marketing, business or related field required. Bachelor's degree preferred. Four years’ applicable human resources experience required, preferably in health care and/or comparable size organization. Additional relevant work experience may be considered in lieu of formal education. PHR /SPHR or SHRM CP/SCP preferred. Must have knowledge and experience with federal and state laws relating to human resources. Must be a team player and provide outstanding service to all customers with integrity. Knowledge of and demonstrated experience with employment laws and practices required. Must maintain confidentiality and discretion regarding business practices, confidential or sensitive information. Must maintain a high level of accuracy. Must have excellent organizational and interpersonal skills.
