Job description

As an HR Coordinator, you will be operating in a matrix environment, supporting 4 key business units; The Orchard, AWAL, SME International in the UK and Continental Europe and Africa, partnered by the HR Business Partner.

This role will manage the administration, coordination, and first line support of HR activities for a total UK client group of around 300 employees, continuously striving for excellence in the employee experience and escalating critical matters to the respective HR leads where required. This position will also provide project-based support for an international region spanning across approx. 13 countries support regional HR lead with the analysis and insight to drive innovative solutions scalable for the markets.

What you'll do:

Talent Attraction- On boarding and Off boarding

  • Manage the end to end on-boarding process for new joiners and contractors for AWAL UK, The Orchard UK and SME International based in the UK. For Orchard International, liaising with local SME HR for contractual and operational set up and Tech for Orchard and AWAL profile set up.
  • Create and maintain employee file and ensure completeness– UK only
  • Ensure any documentation related to International staff is shared with respective SME HR to process and record accordingly.
  • Manage the end to end off-boarding process for leavers and contractors for AWAL UK, The Orchard UK, SME International. Liaising with SME HR for the Orchard and AWAL International markets.

HR Systems, Reports and Analytics

  • Ensure the HR database is maintained, accurate and up to date at all times
  • Utilizing the HRIS to create and produce regular insightful people analytics around turnover, exit interview, starters, leavers, headcount, employee engagement
  • Liaise with the central HRIS team in New York regarding regional HR database reporting requirements
  • Ensure regional organizational charts are kept up to date on an ongoing basis
  • Provide ad hoc regional reporting as and when required
  • Maintain personnel files – UK only.

First line advice

  • First point of contact for AWAL, The Orchard International and SME UK employees and first line managers on policy and employee matters
  • Troubleshooting first line employee queries
  • Escalating to the respective HR leads on people matters where necessary

Total Reward

  • Create and distribute compensation, promotion and benefit letters to employees
  • Maintain a good understanding of the benefits system to provide first-line assistance with basic employee queries – UK only

Talent Development

  • Maintain Talent Trackers across the region, monitoring activities for our top talent and under performers
  • Assist with the tracking and monitoring Talent Development programs alongside the Talent Development team

Global Mobility

  • In partnership with Immigration advisors, end to end management of visa sponsorship process- UK only
  • Oversee work visa and sponsorship tracker- UK only
  • Projects & Initiatives
  • Assist in the project management of regional HR initiatives, supporting with data captures and analysis through to implementation of new initiatives
  • Policy updates
  • Support HR Business Partner, VP and Director with ad-hoc activities such (such note taking in formal meetings, Raise POs as required, job spec drafting, troubleshooting)
  • Support HR leads in other countries with projects as and when required

Who you are:

  • HR systems and reporting experience (desirable)
  • Excellent organisation and prioritising skills
  • Ability to work independently and use own initiative
  • Foundation knowledge of UK employment law (desirable)
  • Ability to listen, express and articulate information effectively both verbally and in written communication to team members and aware of different cultures
  • Strong IT and HR System experience, particularly Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Suite
  • Strong attention to detail
  • Ability to identify and highlight problems providing viable solutions
  • Approachable and adaptable
