Location: Hybrid working: home our office in the London Bridge area
Reports to: HRIS Operations Manager
Salary: £27,000 - £30,000 Per annum
How you’ll help us succeed
Our HR Operations team supports Kaplan businesses in the UK by providing all the core HR administrative and operational services they need. You’ll be responsible for delivering a comprehensive and supportive administrative service to a number of our teams and providing sound front-line policy/process guidance to those employees and line managers.
Hiring onboarding
Prepare and issue to managers/new starters all contracts joining documentation, and ensure all necessary documents are returned before a new starter is registered onto payroll
Take up references from the previous employees of our new starters
Compensation benefits
Support the annual salary review processes
Manage the day-to-day and annual benefits processes
Develop and maintain the benefits area of the intranet/portal, ensuring information is up to date and of high quality
Employee information reporting
Maintain accurate employee information that helps us understand our business, make decisions and get things done
Carry out regular and ad-hoc reporting as per business requirements
Respond to general information requests from within the business, while being mindful of data protection
Ensure that our data retention and processing is compliant with all GDPR requirements
Changes queries
Ensure changes to employee terms and conditions are confirmed with a new contract or letter, as appropriate, and that changes to payroll are not actioned until the employee has signed and returned their new contract
Pick up and action items coming in through the HR Queries inbox
Respond to reference requests such as employment, mortgage, visa
Ensure terminations are processed correctly by managers in a timely manner
Support employees and management in the processing of tasks on our HRIS (Workday)
Process of maternity/parental leave on our HRIS and ensuring these are sent to payroll in line with monthly timelines
Liaise with managers monthly to ensure expiring fixed term contracts and secondments are actioned accordingly
Create guidance materials to help managers and employees with HR operational processes and systems
Compliance
Obtain sufficient documentary evidence that each new starter is eligible to work in the UK and is cleared to do so before they start work
Ensure that all employees on work permits or visas either have them renewed or leave the company prior to their expiry
Complete any relevant background checks (e.g. DBS/BPSS) within the required time scales
Escalate issues as appropriate to ensure the above obligations are met
Process improvement
Identify opportunities to make people processes simpler and more efficient
Use stakeholder input to assist with improvements
Suggest opportunities for automation and self-service where possible
Development and maintain the HR Operations area of the intranet, ensuring information is up to date, of high quality
You’ll also carry out other duties, within the broad scope and spirit of your role, as requested by your manager and participate in projects as required. Our business continuously evolves, so your role will too.

What you’ll bring
With your experience, you’ll have:
Strong administrative experience, preferably within a Human Resources environment
High levels of customer service
Excellent attention to detail, organisational and time management skills
Excellent written and verbal communication skills
Competent use of Microsoft/Google (mail merge, vlook up etc)
Ability to understand rules and regulations, ensuring that procedures are followed accurately
Demonstrable interest in and/or experience in gathering, reporting and performing analysis on HRIS data
Ability to take ownership of a task and see it through to completion
