EMEA HR Assistant

About the role:

Taboola is looking for an energetic and hyper-efficient HR Assistant to join our EMEA HR team. This candidate will be an organisational master with a strong sense of client service, working with employees, managers and candidates across the region. You'll have the ability to shift gears and juggle competing priorities and remain cool, calm and collected, possess excellent verbal and written communications skills, and enjoy the challenges of helping to support a dynamic and fast-paced organisation.

About you:

The ideal candidate is someone with solid HR knowledge who has a strong sense of teamwork, is used to working across different cultures, is organised and has an excellent eye for detail. This is the perfect opportunity for a candidate with 2 or 3 years' experience in HR and looking to gain broad European experience whilst contributing to a growing company. A tenacious approach to navigating varying different local processes is a must.

Responsibilities:

Onboarding and Off-boarding the EMEA Team:

  • Create contracts and offer letters for new hires in EMEA
  • Liaise with people managers and other internal teams to ensure engaging and timely onboarding plans for new team members
  • Deliver new hire inductions and educate new employees on all payroll and benefits related information
  • Gather and consolidate all necessary information from new hires, ensuring compliance needs are met including right to work checks, benefits forms, payroll forms etc.
  • Owning the off-boarding process for employees; updating the HRIS and IT, liaising with people managers (email forwarding/final bonus attainments), conducting off-boarding meetings, generating leavers letters, ensuring all final payments are processed through payroll

Benefits and Payroll Administration:

  • Enter all new hires and data changes in our HRIS (currently SuccessFactors) and educate all employees on their responsibilities for maintaining their personal data
  • Support Finance by administering all changes to payroll (changes to salary/personal details, job changes, bonuses etc.) in a timely and accurate manner
  • Act as a liaison with payroll providers for any non-standard payroll processing
  • Support the wider EMEA HR team with standard benefits administration and queries

General Administration:

  • Be our HRIS super-user; responsible for input, maintenance and accuracy of all employee data in our HRIS as well as being the first point of contact for the HR team and employees who have queries concerning the HRIS
  • Create and issue letters for promotions, transfers, salary changes, and employment references
  • Provide ad hoc support to the EMEA HR team with reporting, minute taking, ad hoc projects, e.g. GDPR.
  • Collaborate with HR Coordinators in other regions to develop and implement global processes

HRBP Support:

  • Assist with the creation and administration of pragmatic HR processes and procedures to enable the fair, consistent and prompt resolution of employee queries
  • Establish yourself among our EMEA employees to ensure they are comfortable and confident in approaching you for ad-hoc queries
  • Advise on first line policy queries from employees, escalating to HR Business Partners where necessary
  • Assisting HR Business Partners with family leave consultations (maternity/paternity/adoption), sickness absence reviews and disciplinaries. Manage all follow up administration
  • Provide ad hoc support to the EMEA HR team with reporting and ad hoc EMEA projects (e.g. QBRs, country specific statutory requirements)

Requirements and skills:

  • Experience in HR administration and a strong desire for a career in HR
  • Technically savvy and proficient in Word, Excel (pivot tables etc.) and Powerpoint
  • Ability to deliver a high standard of work in a fast-paced environment; attention to detail is a must
  • Strong and clear written and verbal communication skills
  • A solutions-based tenacious approach and proven problem-solving skills
  • Ability to be very well organised and manage conflicting priorities and expectations whilst meeting deadlines
  • Maintain strict confidentiality of sensitive systems and employee data
  • Confident in building relationships with employees, senior management, and external stakeholders
  • Some EMEA wide HR exposure is advantageous
