ACCOUNTING/HR ADMINISTRATOR
Children's Legal Services of San Diego, Inc. (CLSSD) is a nonprofit public benefit corporation, which advocates for children and youth who are the subject of abuse and neglect proceedings in the San Diego County juvenile dependency court system. CLSSD is dedicated to high quality, comprehensive legal representation that advocates for children and their voices to be heard in court room. Our firms are court-appointed to represent both minors and non-minor dependents in Juvenile Dependency Courts in San Diego County. CLSSD, located in the Kearny Mesa area of San Diego, is seeking a Part-Time (20-30 hours per week), Accounting/HR Administrator.
POSITION SUMMARY
Under general direction of the Director of Operations, performs all bookkeeping duties, manages payroll and benefits, and assists with agency-wide operations and activities, including but not limited to, marketing, fundraising, information technology, facilities, and safety.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Accounting (40%)
· Manage accounts payable and receivable to ensure that funds are collected and expended to the best possible advantage.
· Maintain an efficient accounting system, including timely close of monthly financials.
· Maintain impeccable files following CLSSD procedures.
· Manage all vendors.
· Maintain filings to ensure compliance with federal and state requirements.
· Assist with annual financial audit.
· Manage documentation and submit invoicing for federal contract.
· Manage and process payroll in iSolved system on a semi-monthly basis.
Human Resources (30%)
· Serve as the main point of contact for employee questions and concerns regarding benefits.
· Manage onboarding and off-boarding processes.
· Manage enrollments and changes for all employee benefit plans, including medical, dental, vision and IRA.
· Assist with employee leaves of absence.
· Manage and maintain employee personnel records.
Administration (20%)
· Troubleshoot the organization’s physical infrastructure and system maintenance, (including overseeing phone system, security, cleaning, supplies, etc.) with office coordinators.
· Execute contracts and organize documents appropriately.
· Assist with planning and execution of Company events as needed
· Greet visitors entering the office, determine the nature of their visit, and connect with appropriate person as needed.
Marketing and Development (10%)
· Manage the development, distribution and maintenance of all print and electronic collateral, including, newsletters, brochures, website and social media.
· Prepare financial documentation for grant proposals and reporting.
QUALIFICATIONS
· At least three (3) years of bookkeeping experience required; preferably in a non-profit environment.
· At least two (2) years of payroll processing experience preferred.
· At least one (1) year of Human Resources administration experience required, benefits administration preferred.
· Finance/Accounting certification preferred or equivalent in related knowledge and experience required.
· Demonstrate the ability to follow policies and procedures as established in the company Employee Handbook.
· Contribute to a positive work environment by behaving and communicating in a manner such that they get along with all constituent groups, co-workers, and management.
· Must exhibit a high level of confidentiality.
· Able to meet tight deadlines.
· Strong organizational, detail-oriented, time-management, and problem-solving skills.
· Excellent interpersonal communication skills with the ability to be professional, patient, and understanding when interacting with clients, colleagues, and supervisors.
· Excellent written and oral communication skills, and the ability to articulate information clearly.
· Ability to communicate, and desire for continuing education, in a trauma-informed and culturally appropriate manner with persons of diverse backgrounds, including race, ethnicity, SOGIE, socioeconomic status, culture, etc.
EQUIPMENT AND APPLICATIONS
· High proficiency in MS Office (Word, Excel, and Outlook);
· Working knowledge of all standard office equipment;
· Working knowledge of payroll systems (*iSolved);
· Working knowledge of accounting system (*Xero);
· Working knowledge of billing systems (*Bill.com);
