IPS Pharma is an independent international pharmaceutical services company operating in three main areas: Unlicensed medicines (Unlicensed Imports and Specials), Clinical Trials and Special Obtains.
Dispensary Assistant Manager (Controlled Drugs) will lead the team in daily activities, coordinate and manage end to end receipt, processing and dispatch of prescriptions for controlled drugs.
Some of the key accountabilities for the role include:
- Receiving prescriptions e.g. via email; log and processing them onto the PMR system.
- Liaising with patients/customers and keeping them informed of the progress of their prescription’s status
- Patient contact; taking payments
- Resolving any patient/customer complaints/queries
- Directing any complaints or unresolved issues to the designated person if unable to resolve
- Liaising with clinics on prescription issues
- Setting up of new product codes
- Maintaining/producing management reports on prescription activity
- Maintaining process protocols
- Monitoring shelf life of stock held on site, weekly CD Balance checks.
- Keeping records of customer interactions and transactions
- Recording details of enquiries, comments and complaints and actions taken
- Approving wholesale orders dependent on stock availability
- Overseeing end of month activities and ensuring submission on time
- Communicating and co-coordinating with internal departments
A minimum of 2 years experience if working in a community pharmacy is required together with interacting with patients and working as a member of a team. Ability to lead and manage a team. Strong communication skills both oral and written and the ability to communicate effectively at all levels are essential to the role a well as being capable of managing self yourself in a proactive way.
Education/Skills required: NVQ 3 Pharmacy Dispensing/Technician, ACT qualification desirable, GCSE or equivalent, IT literate (strong knowledge of Microsoft Office, etc, excellent command of the English language, experience of SAP an advantage, together with a logical approach and organised person able to prioritise workload.
