Job description
To provide a reception service answering telephone/email enquiries and recalling answer machine messages.
To maintain a caller enquiry log.
To distribute incoming post, parcels and outgoing post including the use of a franking machine.
To provide a navigation service to callers to ensure they get to the right services at the right time.
To book people into services and activities and keep a record of these bookings.
To upkeep displays in the centre reception showcasing the work of the charity.
To deal with contractors visiting the centre to undertake work.
To provide daily signing in sheets for staff and volunteers to use.
To ensure sign in and booking sheets are filed and archived.
To ensure the reception desk is clean, tidy, and well maintained.
To handle room bookings and maintain booking systems including the SMS system.
To send and log service close letters to I & A Service clients.
To ensure complaints are escalated to Senior staff.
To maintain the lone working safety telephone log for staff working in the community.
To oversee the customer service feedback token system.
To undertake general administration tasks delegated by the Customer Service Officer.
Person Specification
Good standard of education
Experience
Minimum of 2 years’ reception and/or undertaking front of house task
Relevant work experience in a community setting
Minimum of 1 years’ experience working with Microsoft Office
IT and keyboard Skills
Dealing with telephone enquiries
Dealing with in-house enquires
Clear communication
Organised and methodical
