Job description
We are looking for an experienced and skilled administrator to fulfil the combined role of Freedom of Information (FOI) Officer and Executive Assistant as part of the Corporate HQ Administration Team.
The successful candidate will be responsible for meeting the Trust’s obligations under the FOI Act as well as supporting the wider Executive Office as an Executive Assistant. Full training will be provided for all aspects of the role on a one-to-one basis and virtually as required.
You will be required to communicate and liaise with a range of staff, other organisations, and the public. You will be highly organised and have a flexible approach to the working day to meet tight and varying deadlines. You will have an ability to deal with highly confidential and highly sensitive information and to act with tact and discretion.
The job is a full-time 14-month fixed term position with the ability to work from home/office. The successful candidate must be able to attend meetings and cover Reception duties at London House, Bracknell as needed. The role has a working pattern of 37.5 hours per week, Monday to Friday.
Secondments will be considered
- To ensure the smooth running of the FOI administrative process from receipt of the request through generating the response, the approval process and Trust reporting on FOIs, whilst meeting the statutory requirements of the FOI Act
- As part of this process the post holder will be required to ensure the accurate collation of responses, work with a variety of stakeholders through completion and approval of the response. Track responses to ensure timescales are achieved and deal with FOI Complaints.
- To ensure that the Trust’s Publication Scheme; Disclosure Log; Data Sets; Service Contact information etc is kept up to date. Ensure the FOI Policy and procedures are maintained and updated as required.
- To provide data and information for the compilation of quarterly and annual reports on FOI, highlighting compliance (or otherwise) with policy and legal requirements.
- Provide a full suite of Executive Assistant and administrative duties in a supporting capacity to Executive Directors and Senior Leaders on behalf of or in the absence of their Executive Assistant.
1. Proven business administration skills, including records management, minute taking and reporting.
2. Conscientious, ability to forward plan, accuracy, analytical and attention to detail.
3. Experience in a senior administrative or EA/PA position
4. Evidence of being able to prioritise and organise your own workload and be able to work effectively and efficiently unsupervised.
