Overview:
This post sits at the heart of People Directorate in the Business Support Unit. The Unit provides business management services; undertakes a range of corporate activities for the directorate; provides support to the Director and senior management team; and delivers a finance function, including managing and monitoring the directorate budget.
The main focus of this role will be to provide finance support with particular responsibility for paying invoices, raising purchase orders, preparing and posting regular journals and other transactional finance duties.
In carrying out these duties, the post-holder will work closely with the Finance Officer. You will also contribute to the wider work of the Business Support Unit, as and when required.
The successful candidate will be organised, numerate, pay good attention to detail and capable of consistently delivering high quality work, often to short deadlines. You will be discreet and have the ability to remain calm under pressure in an ever-changing environment.
We are a small friendly team of 8 and the post-holder will report to the Business Support Unit’s Finance Officer.
This is a 12 month Fixed Term Appointment.

1. Experience of carrying out a range of financial transactions and of using finance systems.
2. Excellent organisational skills, personal resilience, and the ability to proactively manage a range of competing priorities within tight deadlines.
3. Strong written and verbal communication skills and confidence in dealing with a wide range of internal and external stakeholders, including senior officers.
4. Strong information management and administration skills, including experience of using a variety of different IT systems.

- Purchase ledger invoice processing using the Scottish Government’s finance systems.
- Raising purchase orders.
- Working with colleagues across the Scottish Government (SG) to ensure that suppliers are paid within 10 working days.
- Preparing and posting regular journals, ensuring the correct coding of information and the reconciliation of accounts.
- Running and distributing payroll and financial monitoring reports.
- Supporting the efficient operation of our financial systems by running interfaces, posting transactions to the general ledger, running scheduled jobs, and checking outputs, investigating and resolving issues.
- Advising colleagues across People Directorate on correct finance processes.
- Supporting Finance Officer in completing monthly returns to central Finance colleagues. This will include running reports and completing spreadsheets.
- Working with suppliers to complete Vendor Maintenance forms in line with SG requirements.
- Processing low value / easy to assess claims for loss or damage to personal belongings in the course of official duties. Refer more complicated claims to Finance Officer for guidance.
- Paying claims submitted by colleagues for glasses (Display Screen Equipment Eye Tests).
- Checking the Finance mailbox on a regular basis throughout the day, clearing invoices, Purchase Orders and answering queries from colleagues, liaising with the Finance Officer and Finance Team Leader when support is required for more complex queries.
