Job title: Finance Officer

Reports to: Head of Finance and Operations

Salary: £35,000

Hours: 37.5 per week (part time, flexible working available)

Black Thrive Global (BTG) evolved from the work of the Black Thrive Lambeth Partnership, which was established in 2016. We exist to address the inequalities that negatively impact the mental health and wellbeing of Black people so that the thriving of Black communities is the norm.

Our guiding principle is that Black communities should be at the forefront of reimagining, redefining and co-creating a society where systemic racism and other oppressive systems have been dismantled so that they have fulfilling lives. We have two priorities – building a Black Thrive Research Institute and embedding race equity in systems change.

Purpose of the role

The purpose of this role is to support our Head of Finance and Operations with our finance and operations functions including manage systems to efficiently run the business and achieve strategic objectives agreed by Black Thrive Board of Directors. This includes payroll, managing Xero, managing accounts payable and accounts receivable and being the main point of contact with our accountants.
The ideal candidate will be results-oriented, mission-driven, comfortable working independently, have refined problem-solving skills, and thrive in a rapidly evolving environment.

Duties and responsibilities

1. Support the Head of Finance to manage financial functions, including working with managers to prepare and monitor budgets, ensuring that there are appropriate financial controls and operational arrangements in place (including for outgoing and incoming invoices and grants).

2. Ensure the provision of effective day-to-day finance administration including responding to staff queries regarding income and expenditure and extracting financial information from Xero for budget holders and grant reports.

3. Support HFO with various tasks including preparing annual budgets and analysing expenditure and income by business unit and fund.

4. Support managers with budgeting and report preparations and chase budget holders for spending approvals.

5. Process new joiners and leavers on the accounting platforms and liaising with external accounting and payroll providers.

6. Be the first point of contact for the finance team and support staff to take on delegated responsibility for finance.

7. Chase invoices, receipts and credit notes and upload to ensure that there is supporting documentation for items on Xero whilst maintaining coding accuracy.

8. Receive, record and process purchase invoices on a daily basis in accordance with the company’s policy and procedure such as matching to purchase orders, uploading electronic invoices into the accounts system and classifying them to the correct nominal codes.

9. Plan, organise and manage own workload to ensure contribution to the company’s monthly financial reporting process is achieved in a timely and accurate manner.

10. Support the Head of Finance & Operations with the year-end procedure and preparation for external audit.

11. Maintain spreadsheets to keep track of a few areas of spend e.g. Wellbeing Fund where each employee is entitled to a maximum spend of £500 per annum.

12. Work with accountants to enrol payroll and bill payments into Telleroo.

13. Work with the Head of Finance & Operations to update internal finance procedures and train
Directors and Managers.

14. Support Head of Finance & Operations with various tasks including preparing annual budgets and analysing expenditure and income by business unit and fund.

15. Produce and deliver presentations, reports and other material relevant to the role.

16. Occasionally work at weekends and in the evenings when required.

PERSON SPECIFICATION

Finance Officer

Qualifications and Experience

1. Equivalent of a bachelor’s degree in finance, business administration or related field.

2. A minimum of 2 years’ experience in financial operations in an organisation dealing with multiple and/or complex programmes and partnerships.

3. Experience in developing and implementing new systems and processes in start-up environments.

4. Experience using online accounting software including Xero and Quickbooks.

5. Experience setting up and maintaining financial and administrative systems that are compliant with data protection and privacy laws.

Ability, skills, knowledge

6. Strong numerical and analytical skills.

7. Excellent Excel skills.

8. A good track record of achieving objectives and meeting deadlines.

9. Excellent understanding of financial management and controls.

10. Commitment to equality for all people as well as good knowledge and understanding of the experiences of Black people of African and Caribbean descent and a strong drive to address the factors which negatively impact upon their health and wellbeing.

11. Excellent communication and interpersonal skills, including conveying complex information adaptable to people from different professional backgrounds and levels of seniority.

12. Excellent organisational skills, strong attention to detail, ability to multitask and to manage a heavy workload and competing priorities.

13. Ability to work at speed through ambiguity and uncertainty and remain calm under pressure.

14. Ability to remain enthusiastic, optimistic and solutions-focused in the face of adversity and to deliver tangible results with minimal supervision.

15. High level of digital competence to support financial goals.
